The Assistant to the Head of School provides confidential, consistent and sound judgement to professionally support the Head of School. The Assistant to the Head of School acts as a liaison between the Head of School’s Office and faculty, parents, and the community; plans and manages details and logistics for major school events; and lends administrative support to all projects initiated by the Head of School. Additionally, the Assistant to the Head of School is responsible for providing a full range of administrative and strategic support to the Head of School and Board of Trusteesincluding, but not limited to:
Serves as a liaison for the Head of School with all School constituencies, assisting them in answering questions and resolving issues, while maintaining utter confidentiality, consummate professionalism and necessary sensitivity.
Manages the daily operation of the Head of School’s office, including calendar oversight and scheduling of appointments, and coordinates select major all school events.
Provides strategic and logistical support of all institutional projects, short and long-term goals, and priorities identified by the Head of School.
Administrative representative and liaison to the Board of Trustees, including establishing and maintaining annual calendar, and distributing correspondence (agendas and minutes/notes for Board meetings). Plans and coordinates all meetings, retreats and events. Attendance at Board meetings is required.
Liaison to the Leadership Team, which includes the senior administrative leaders of the school, helping to coordinate workflow, facilitate projects, and plan meetings and retreats.
Responsible for managing flow of HoS’s business communication (phones, email, and mail), applying necessary judgment to determine priorities and importance.
Handles travel arrangements for the Head of School, including transportation and lodging.
Helps manage HoS budget, including by generating and reconciling monthly expense reports.
Collaborates regularly with the Business, Advancement, and Admissions Offices to strengthen ties to the internal and external community.
Promotes the School’s mission, core values and culture, and enthusiastically takes an active role in the life of the School.
Performs other duties as assigned by and in support of the Head of School and the Board of Trustees.
The ideal candidate will have superior organizational skills, project management experience, and reporting, research and logistics skills; be highly proficient in Microsoft Word, Excel, PowerPoint, and Google applications; and have exemplary verbal and written communication skills. Proficiency in managing multiple priorities strategically and under tight deadlines, while maintaining a high degree of accuracy, is necessary. The ideal candidate will also be a detail-oriented, proactive problem solver, flexible and unflappable in a fast paced environment, and able to liaise effectively, professionally and cheerfully with a wide range of individuals. This position will require some non-traditional work hours, including occasional nights and weekends. A Bachelor’s Degree is required.
