Miami Country Day School was founded in 1938 as a residential proprietary boarding school for boys through eighth grade and has evolved remarkably over the past 80 years. The School has become a coeducational, nonprofit, interdenominational school with approximately 1250 students in Pre-Kindergarten3 through grade 12 representing approximately 44 countries. Miami Country Day School has an opening for a full-time, 12-month position as an Accounts Receivable Specialist. As a member of the Business Team, this person will report directly to the Comptroller. The applicant should display a positive and proactive attitude, strong organizational skills, the ability to prioritize and multitask and be a strong communicator, on both paper and over the phone, as he or she will frequently deal with a variety of constituents.
Essential Functions and Tasks:
Maintain up-to date student billing
Review monthly schedule of charges and credits
Maintain a monthly spreadsheet for bank cash receipt activity, cross-referenced with a spreadsheet of deposits, wires, and credit card payments
Carry out or oversee monthly billing in Smart Tuition
Oversee late fees
Calculate student refunds under Tuition Protection Plan and process student billing adjustments with sign-off
Send printed statements when requested. Smart Tuition sends monthly statements.
Supplement the collection work that Smart Tuition does for the school by making additional phone calls for
Follow up on Smart Tuition notes to investigate and resolve customer queries
Communicate with parents via email, phone, mail and/or in person
Maintain Petty Cash.
Assist with Accounts Payable processing as requested
Assist in Financial Audits and Submit Records of Accounts Reconciliations
Work with Admissions and Applications & Data Solutions Departments during Re-Enrollment and New Enrollment process.
Utilize Software Applications and Web-Based Sites for School Accounting Operations (Citrix, BlackBaud, PaperSave, Smart Tuition, Office 365, Online Banking)
Knowledge, Skills, and Physical Requirements:
Bachelor’s degree in accounting or Business preferred.
Independent school, Blackbaud products including FE Student Billing/ FENXT, OnBoard, and Smart Tuition systems experience is a plus.
Work in a fast-paced, stressful environment dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts.
Strong organizational and time management skills.
Excellent communication skills, both verbal and written.
Ability to multi-task and prioritize work.
Ability to work independently and in a team environment.
Basic office administration, including working knowledge of Microsoft Office Tools.
May work long hours for extended periods of time.
Be able to lift 5-20 pounds occasionally.
