This position is a full-time, 12 month, benefited position beginning as soon as June 1, 2018.
The Student Billing and Accounts Receivable Manager will report directly to the Assistant Head of School for Finance & Risk and indirectly to the Controller. The qualified candidate will work across the school with parents, faculty, Enrollment Management and Institutional Advancement. Strong attention to detail and exceptional written and interpersonal skills are a must for this position.
Responsible for all aspects of Student Billing including the maintenance of Student Billing system (Smart Tuition)
Responsible for the proper general ledger posting of all cash receipts
Prepare student tuition/account bills; process monthly statements.
Process all charge imports (i.e.Extended Day/Clubhouse programs, class trips, AP Exams, etc).
Process cash receipts (cash, checks) and enter data into the Blackbaud Financial Edge for all tuition and non-tuition related transactions.
Posting payments to student accounts not processed by Smart Tuition
Preparing various charges, credits and adjustments to student accounts as necessary.
Ensuring consistent and accurate maintenance of the student billing process to guarantee accurate billing and collection of receivables.
Coordinate with Enrollment Management during re-enrollment process and throughout the year as student enroll, disenroll, study abroad etc.
Daily liaison with parents including face to face meetings, phone and written communications regarding student accounts.
Prepare regular reporting of Accounts Receivable outstanding and identify emerging collections issues for appropriate action by the CFO.
Handle all necessary issues with the outside collection agency on old accounts and make recommendations for collections actions and system enhancements.
Oversee relationship with Smart Tuition
Oversee Dewar Tuition Refund Insurance and Student Accident Insurance Programs. Including enrollment, claims and payments.
Investigate and respond to inquiries, give appropriate directions, and provide customer service to families.
Other Cash Receipts
Oversee and operate the E-deposit banking terminal.
Process cash receipts (cash and checks) and enter data into the system for all non-student billing transactions, including Campaign gifts and other miscellaneous cash receipts.
Assist Charger Club and Parents Association volunteers as needed with new member enrollment reporting and year over year comparisons
Handle on-site banking activities of cash deposits, and special cash requirements, such as Book Fair and other class fundraisers.
Reconcile Accounts Receivable ledger to General Ledger.
Reconcile Student Billing related revenue accounts to general ledger, including Tuition, Charger Club dues, Extended Day/Clubhouse, class trips, AP Exams, etc.
Reconcile students per Smart Tuition and Enrollment Management
Reconcile Financial Aid to totals per Enrollment Management
Reconcile Financial Aid to General Ledger, including tuition, tuition remission, Legacy discounts, etc.
Draft adjusting and correcting journal entries identified through the reconciliation process.
Other Accounting and Finance Office Support Duties
Serve as the Accounting and Finance Office contact person for all cash receipts and all billing inquiries
Prepare reconciliations and reports as requested by Chief Financial Officer or Controller.
Support other department duties as necessary and as requested.
Maintain the confidentiality of sensitive financial, student, parent and all other data
Education and Experience
An Associate’s Degree in Business Administration, Accounting or equivalent experience
At least two (2) years of billing and accounts receivable experience, preferably in a school environment or CPA
Strong finance and accounting skills
Attention to detail and accuracy
Highly organized with an ability to multitask and prioritize
