Germantown Friends School seeks an articulate, personable and efficient professional to provide administrative support services to the Admissions Office. Strong customer service skills are a must, as this individual will serve as the first point-of-contact for all visitors and manage all admission inquiries and applications submitted to the School. The Coordinator will also provide general administrative support for an eight-member Admissions Team.
This person will report to the Director of Enrollment and work closely and collaboratively with the Admissions Team, school faculty and staff, student and parent volunteers, and prospective families. This is a non-exempt, twelve-month position, eligible for benefits, including tuition remission. Hours are from 7:30 am to 4:30 pm, Monday through Friday, and an occasional Saturday required, with a start date of mid-August, 2018.
Duties and Responsibilities include, but are not limited to:
Providing outstanding customer service to prospective and current families when answering the phone, greeting visiting families, and responding to emails.
Managing Google calendar for the Admissions Office and scheduling parent interviews, tours, and student visit days.
Maintaining data in the admissions database (currently Senior Systems/Advantage), including processing of inquiries and applications, tracking files to completion, and preparing files for Committee review.
Creating various reports and maintaining ongoing spreadsheets as requested by Admissions Directors.
Preparing personalized admissions mailings through mail merge and keen copyediting.
Providing support for Admissions Office and outreach events (i.e. school fairs, presentations, Open Houses, and neighborhood coffees) through planning, communications and attendance.
Receiving, sorting and routing mail.
Ordering, receiving and maintaining office supplies.
Performing other clerical duties such as filing and photocopying.
Highly qualified candidates will have the following skills and experience:
A high degree of discretion dealing with confidential information is required.
Proficiency with computers and technology: Word, Excel, Google applications required; Senior Systems/Advantage preferred.
Excellent writing and communication skills, a gracious phone manner, superior customer service skills and graceful under pressure.
Well-developed sense of empathy, cultural competency and boundary-setting.
Ability to establish priorities, think with agility and work collaboratively with a team orientation.
Excellent organizational and independent problem-solving skills, with ability to handle multiple tasks simultaneously and meet deadlines in a fast-paced environment.
Previous independent school admission office experience strongly preferred.
Bachelor’s degree preferred.
Satisfactory completion of pre-employment and State of PA clearance.
Availability for occasional evening and weekend events.
Physical requirements include ability to:
Occasionally lift objects weighing up to 25 pounds.
Sit for long periods of time.
Occasionally stoop, kneel or crouch.
Use hands and arms to reach for, grasp and manipulate objects.
