The position of Admissions Events Coordinator is integral to The Westminster Schools’ Enrollment Services program. This highly organized, detail-oriented, confident leader will plan and execute events sponsored by the Office of Admissions & Enrollment Services (“Admissions Department”). Under the guidance of the Admissions Director, the Admissions Events Coordinator develops the strategy for and oversees the development, execution, and follow up for events that advance the strategic initiatives of Westminster’s Admissions Department and deepens the School’s relationships with its applicants.

Position Status: This position is a salaried, non-exempt, full-time, regular, 12-month position.
Hours of Work: Standard work week with exact hour to be determined by supervisor. Hours may vary depending on schedule of events. Evening and weekend work will be required.
Manage a collaborative planning process to execute successful Admissions events that includes developing timelines and creating agendas and run-of-show plans, planning and arranging for décor and set-up, creating and arranging for placement of signage, coordinating logistics, volunteers, staff, vendors, and partnering with other internal departments at Westminster
Serve as primary contact for event volunteers and staff
Develop and manage budget for events (with approval from Director of Enrollment Management)
Work in collaboration with entire Westminster community including Lower, MIddle and Upper School Divisions, Business Office, Facilities, Technology, Catering, Parent Volunteers, and President’s Office to execute events
Perform other duties as assigned
REQUIREMENTS AND QUALIFICATIONS
Bachelor’s degree required
Minimum of five years’ experience in event planning; volunteer management in non-profit organization a plus
Flexible, highly energetic, creative and confident to ensure high-quality execution and leadership for events
Polished and diplomatic communication and interpersonal skills; ability to work and communicate effectively with diverse constituents; significant experience working with high-level volunteers and staff
Professional leader with the ability to serve as guide to multiple staff members and volunteers regarding event planning
Proven time-management skills; extremely organized with the ability to manage and oversee all aspects of planning and executing a variety of events in an aesthetically-pleasing manner
Self-motivated with the ability to work independently and take initiative to meet deadlines in a time-sensitive and fluid environment with attention to detail and accuracy
Demonstrated ability to work as an effective team member and manage multiple projects in a fast-paced environment
Very strong computer skills, including high competency in Microsoft Office software, Google “G Suite” apps, databases, and email marketing programs

PHYSICAL DEMANDS AND WORK ENVIRONMENT
While performing the duties of this position, the employee is required to sit; stand; walk; use hands to finger, handle and feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch and crawl; talk and hear; engage in moderately strenuous physical activity both indoors and out; and smell. The employee may occasionally lift or move up to 50 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
While performing the duties of this position, the employee is occasionally exposed to outside weather conditions and may frequently walk on slippery or uneven surfaces.
Travel is primarily local during the regular business day. Overnight and out-of-area travel may also be required.
