Provides principal administrative support to the Head of School; directs the operations of the office, including coordination and oversight of day-to-day services and administrative activities in support of the Head of School’s Office. Acts as primary point of contact for both internal and external constituencies on matters pertaining to the office. Researches, prioritizes and follows up on multiple issues and concerns addressed to the office, including those of a sensitive and/or confidential nature. Manages a variety of special projects.
Represents the Head of School to persons who, by phone or by visit, request a meeting or information. Employs sensitivity, skill and knowledge of appropriate protocol for communications with internal and external constituencies always ensuring the office is represented in a professional, hospitable, and responsive manner.
Manages and maintains the Head of School’s calendar; prioritizes requests for the Head of School’s attention by managing the scheduling of meetings and appointments, coordinates activities and agendas, travel and work time, etc. Keeps the Head of School informed of potential issues and uses tact and diplomacy in rescheduling meetings due to unforeseen conflicts.
Manages the all-school public calendars and coordinates the scheduling of all events within the school, in collaboration with faculty, staff and administrators.
Establishes systems and procedures to ensure the Head of School is provided with the necessary background information and briefing materials for meetings, events and speaking engagements; researches, organizes, prepares, and presents information in a clear and concise manner.
Independently researches, prioritizes, and follows up on multiple incoming issues and concerns addressed to the Head of School, including those of a sensitive and/or confidential nature; determines appropriate course of action, referral, and/or response.
Manages office information flow, i.e., collection, dissemination, storage, retrieval and disposal. Develops appropriate systems for tracking incoming and outgoing correspondence; referring mail to appropriate offices; following up to insure prompt action; coordinating input from multiple sources for Head of School's output. Creates, composes, and edits correspondence and documentation, keeping the Head of School apprised of noteworthy redirected correspondence and its disposition.
Coordinates postings to the Head of School’s page on the school website, collecting pictures and other components needed for weekly updates.
Represents the Head of School's interests and perspective in meetings with staff and others; assists in advancing discussions and issues, preparing the way for action by the Head of School.
Manages a variety of special projects for the Head of School, some of which may have institutional impact.
Performs other duties as assigned by the Head of School.
Support the school and its leadership.
Required Skills and Abilities
Excellent interpersonal and communication skills; assertiveness tempered by diplomacy, tact, optimism, and sensitivity for extensive contact with volunteers, donors, dignitaries, staff and the general public.
Strong writing and editing skills; ability to write and format professional correspondence, memos, and support documentation.
Mature judgment and discretion; ability to maintain confidentiality and composure under pressure.
Team focused; hospitable and professional manner when dealing with staff, volunteers, parents, students and others.
Strong ability to organize work, set and adjust priorities, meet deadlines, and execute multiple concurrent tasks; to anticipate needs and respond accordingly, and to perform with an appropriate degree of initiative.
Advanced proficiency in Microsoft Office Suite; knowledge of word processing, email, calendar, document distribution, and network software.
Familiarity with the Episcopal Church’s traditions, customs, and hierarchy preferred. Knowledge of Washington DC culture, social issues, and challenges.
Supervisory experience preferred.
Required Education and Experience
Office management experience in support of a senior executive preferred.
Experience providing administrative support for an organizational governing body in a non-profit, educational, or corporate setting; experience interacting with trustees, donors, and dignitaries.
