Highly skilled executive assistant needed to provide confidential, consistent and professional support to the head of a nationally recognized independent school in Austin. The executive assistant to the head of school acts as a liaison with the school community, possesses excellent organizational, writing, and editing skills, has an ability to anticipate the needs of the office, and enjoys taking initiative to make the work of the head more efficient. The executive assistant also acts as coordinator for support staff.
The executive assistant reports to the head and is responsible for all issues relating to the school, as delegated by the head. Responsibilities include, but are not limited to, the following:
• Preparing agendas for faculty, staff and administrator meetings. • Scheduling appointments and meetings. • Handling correspondence and general correspondence to the parent community. • Preparing the weekly memoranda. • Screening the head's telephone calls and taking messages. • Sorting the head's mail and email and preparing responses (when necessary). Maintaining and updating standard letters and emails. • Maintaining various databases. • Preparing and editing, with administrator supervision, the Parent/Student and Employee Handbooks. • Preparing and managing the school calendar. • Assuming responsibility for special research and other projects for the head. • Performing other duties as assigned by the head of school.
Required skills and competencies include:
• Ability to work with a wide range of individuals and to interact cheerfully and professionally with the public. • Excellent organization, communication, writing, and editing skills. • Proficiency in use of Microsoft Office and Google docs; familiarity with database functionality and portal management; and ease in learning to use other software and online resources. • Very strong keyboarding skills. • Flexibility, creativity, and a tremendous appreciation for children. • Experience with a similar role valuable.
