The Development Assistant plays a critical role in supporting Commonwealth School’s Development team and executing the School’s many events. As the primary administrator of the School’s development database, the Development Assistant is responsible for the accurate and timely entry, processing, and acknowledgement of gifts; generating mailings lists; coding event attendance and constituent interactions; and pulling relevant reports. She/he works to maintain database integrity and to use the database to its full potential to support the Development team.
The Development Assistant plans, oversees, and directs all event logistics for development, alumni/ae, parent, and Board of Trustees events. She/he coordinates digital communications for the Development department and works closely with the Director of Development, Director of Annual Giving and Alumni Relations, Director of Strategic Marketing, and Communications Assistant to ensure all Development communications needs are appropriately and efficiently addressed. She/he supports the Development team by performing administrative tasks as needed.
This is a non-exempt, full-time position. Some evening and weekend work required during the academic year.
This position reports directly to the Director of Annual Giving and Alumni/ae Relations.
Ensure timely and accurate entry of gift and constituent information
Manage and execute gift acknowledgement process within the Development Team and with the Headmaster
Ensure database integrity by documenting, implementing, and maintaining best practices and policies and procedures for database
Produce mailing and distribution lists for appeals, invitations, and other communications
Update and maintain solicitation and moves management data for annual fund and campaign efforts
Run weekly, monthly, and annual financial reports for the Business Office
Run reports for Development team as needed
Participate in professional development and regular training on database platform to ensure Commonwealth’s Development team uses the tool to its full potential
Manage logistics for all events including but not limited to Parents Committee and Alumni/ae Association meetings, Merrill Series (Alumni/ae Panel event), arts events, Board receptions and dinners, parent forums, reunions, regional gatherings, capital campaign events
Manage all aspects of event on-site for all local events
Work closely with Commonwealth’s Chef Manager and Kitchen Team for all relevant events
Research, identify, secure, and coordinate all venues, catering, rentals, and vendors
Identify, manage, and coordinate students, faculty, and staff needed for event(s)
Create and follow detailed event plans, budgets, timelines and checklists
Collaborate with colleagues in Development and Communications teams to devise and maintain event theme, branding, and look and feel as appropriate
Coordinate and execute event communications, materials, invitations, and follow-up with
Manage and maintain event RSVPs in a timely and accurate manner
Create and manage content for Development emails and e-newsletters
Prepare materials for donor meetings and events
Adhere to timelines, manage correspondence with outside vendors, and collect and submit invoices for Development projects
Support the Director of Development and Director of Annual Giving and Alumni/ae Relations as needed
Provide occasional support in other areas of school life as needed
1-2 years’ experience in administrative role, preferably in a non-profit or educational environment
Excellent attention to detail
Strong critical thinking and problem-solving skills
Resourceful self-starter with an ability to multitask in a fast-paced environment
Expressed interest in learning and growing as a professional in the development and/or non-profit field
Effective team member with strong organizational skills
High level of professionalism, flexibility, diplomacy, and responsiveness
Familiarity with independent schools a plus
