The Gifts and Records Manager collects, maintains, and safeguards the data integrity of the constituent database. Responsibilities include gift processing, prospect and donor tracking, generating queries, data analysis, managing constituent records, creating and distributing timely and appropriate reports, maintaining centralized donor files (hard copies) for individuals, foundations and companies.
The Gifts and Records Manager is an integral member of the Advancement team at The Davis Academy.
Maintains the Advancement Office’s fundraising donor database. Responsible for gift documentation, historical computer records and maintaining and updating centralized development files.
Receives, processes and acknowledges all contributions and Tributes in a timely manner.
Produces reports/queries for Director of Advancement, Annual Giving Manager, Business Office, auditor and other appropriate individuals.
Assists with special events and meetings, including but not limited to: Davis Academy Golf Tournament and Grandparent and Special Friends Day.
Reconciles each month with the business office by providing Gift Summary and Detail, Account Distribution and Cash Receipts Journal Reports for all cash/check/credit card donations.
Assists in administrative duties, projects, and year-end audit preparation as needed.
Prepares and mails monthly billing invoices for the Davis Fund and other outstanding gift pledges.
Provides general administrative support for the Director of Advancement and the Annual Giving Manager
Assists with the production of publications, solicitations, and school-wide mailings, including The Journey and Annual Donor Report.
Performs additional duties as directed by Chief Advancement Officer.
Bachelor’s Degree and minimum 2-3 years’ work experience in a non- profit and /or fundraising organization.
Knowledge of fundraising software, Raisers Edge preferred and strong proficiency with Excel
Possess a high degree of organizational effectiveness and attention to detail while meeting deadlines.
Strong customer service skills
Ability to multi-task on different projects simultaneously
Strong interpersonal and communication skills and able to work in a collaborative/team-oriented environment
Ability to be flexible.
