The Human Resource Manager plays a key role in supporting the faculty and staff of de Toledo High School. This position is a part of the accounting department team who is responsible for the day-to-day human resource tasks, processes payroll, administrates and reconciles employee benefits, guides employee relations, and has an open door to the Head of School.
Compensation and Benefits:
Work with administrators to develop and maintain accurate job descriptions, correct FLSA classification for all positions, and guide them through the recruiting process.
Assist CFO in analyzing employee benefits package to keep it competitive and cost effective.
Manage annual benefits open enrollment process, new hire enrollments, terminations, and COBRA.
Liaison with insurance broker to facilitation questions on benefits from employees and preparing for open enrollments.
Work with TIAA on 403(b) plan management to ensure that all fiduciary obligations are met, and all deferrals are contributed to the employee’s 403(b) plan.
Manage vendor and third party relationships, including flexible spending accounts, health plans, COBRA, retirement plans, live scan, DMV reporting, and any other vendor that is associated HR.
Manage employee accrued sick, vacation, and PTO.
Manage employee leaves of absence.
Build and maintain an effective recruiting structure for department heads to utilize when positions become available.
Prepare and participate in the preparation of staff development plans for each functional associate as requested by Department/Division head. Assess the skills and skill levels necessary to achieve work objectives when requested/required by Department/Division head.
Compliance and Audit:
Maintain all employee personnel files with attention to completeness and confidentiality.
Process accurately and timely all pay and benefits in the payroll system. (Paycom)
Ensure the school is in compliance with all federal, state, and local regulations regarding payroll, health benefits, sick time accruals, and paying payroll taxes.
Coordinate and manage the annual workers’ compensation audit with insurance company.
Submit and follow-up on all workers’ compensation claims.
Maintain and consistently review all legally required employee documentation (i.e. federal, state, accreditation, TB Screening, Live Scan fingerprinting, DMV reporting, mandatory certifications (CPR) and trainings (Harrassment.)
Update and disseminate employee handbook.
Assist with annual financial statement review and 990 preparation
Attend workshops that continuously update and educate on legal issues that affect ndependent schools and the California Education and labor code.
Provide employee customer service by responding to employee inquiries in a timely manner.
Ensure continuity and successful delivery of payroll and benefit functions to users throughout the school.
Teach employees how to use the HRIS for their individual needs. (Clocking in and out, recording sick, vacation or PTO, requesting overtime.)
Evaluate current human resource policies and procedures and make recommendations for improvement, as appropriate.
Consult with administrators and employees to assist in resolving grievances.
Educate the employees of the mission of the school as it pertains to human resources and professional conduct. Work with department supervisors with managing disciplinary action.
Perform new employee Orientations including, but not limited to, training on Employee Access to payroll system and benefits.
Guide administrators and employees of proper documentation of employee evaluations, disciplinary actions, accident reports, and/or confidential matters.
Budgeting, Financial Reporting, and Internal Controls:
Assist CFO with budget process that pertains to human resources, personnel, and benefits.
Reconcile payroll and benefit invoices with monthly statements, employee records, and the general ledger.
Reconcile employee benefit and voluntary payroll deductions with vendor invoices.
Prepare semi-monthly payroll and benefit journal entries
Coordinate performance reviews, salary increase notifications, teacher contracts, open enrollment notification, and all other notifications processed through the human resource office.
Work with the CFO in gathering data and completing surveys for Cal-ISBOA, NAIS, DASL, CAIS, BJE, and all other surveys requested.
Create new personnel procedures or coordinate projects as directed.
The ideal candidate will have the following education, experience and skills:
Bachelor’s degree and Human Resources certification required
Detail oriented time management, problem solving, and accurate record keeping.
Business acumen, project management, HR capacity, technical capacity, leadership and decision making.
Current knowledge of California and Federal labor laws.
5 Years + HR Manager and payroll processing experience.
Enthusiasm for mission and vision of de Toledo High School and strong commitment to embrace and promote its culture.
Strong organizational skills sufficient to handle multiple projects, details, and deadlines simultaneously; strong ability to prioritize.
Excellent verbal and written communication skills.
Must be technology oriented (able to learn new systems quickly and effectively)
Strong interpersonal and communication skills with people at all levels and in all settings.
Proficiency with Microsoft Office Suite (MS Word, Excel, PowerPoint, Outlook, Publisher)
Collegially inclined with peers; a willing communicator and collaborator; enthusiastic team player.
Comfortable working within a fast paced dynamic academic environment.
Unquestionable personal integrity, excellent judgment, sound instincts, diplomacy, patience, and a strong understanding of the sensitivity and confidentiality required for this position.
The School is immediately interviewing and hiring for this position with a start date in June 2018. Compensation is commensurate with experience. This position offers generous benefits including, but not limited to, 100% employer sponsored medical and dental benefits plus 50% employer sponsored for one dependent, up to 5% employer match of 403(b) deferrals, 20-23 paid days off for National and Jewish holidays, and Personal Time Off (PTO) starting at 4 weeks accrued per year.
