Position: Auction and Alumni Relations Associate

Lake Forest Country Day School seeks an enthusiastic Auction and Alumni Relations Associate to manage and support development activities. The position is a full-time, 12-month position. The successful candidate will be a part of a three-member Development Office team and reports to the Director of Development.
This is a great opportunity to be exposed to all aspects of development and event planning within a leading independent school. The ideal candidate should have at least three years of administrative and/or development experience, strong attention to detail, an ability to handle multiple projects simultaneously, strong communication skills with a variety of constituents, and a collaborative approach.
Support the co-chairs in coordinating and organizing all communications, solicitations, managing the timeline and budget.
Input data and run all reports including, merchandise contract information, advertising contract, reservations, and underwriting. Produce accurate and timely monthly and quarterly bank reports, and reconciliations in coordination with the Business Office.
Manage the production of various auction documents, including thank you letters, gift certificates, syndicate forms, etc.
Assist in Catalog Production including reformatting information from the BidPal database, format and integrate grandparent ads for inclusion in catalog, handle Advertisements and coordinate production logistics with printer and designer.
Provide support to Reservations, decorations, floor and various event related auction committees which includes producing name tags, labels, seating and catering reports.
Coordinate the check-out process including entering of winning bids, check-out following the auction and donor/buyer follow-up.
Collaborate with the communications department and volunteers to prepare event related materials
Assist in volunteer recruitment, stewardship and support, particularly related to the alumni relations and auction.
Interface with trustees, volunteers, and employees to advance their projects.
Develop and support alumni programs, communications, and enhances alumni engagement.
Manage mailings and registrations for alumni reunions and events
Enhance and update website content
Maintain and update alumni database information including class notes
Create e-publications and collaborate on social media and other communications strategies
Build and support the alumni class agents program and foster positive relationships with alumni, alumni volunteers, and other key constituent groups.
Bachelor’s Degree or equivalent experience
3+ years of administrative and/or development experience required
Detail oriented with a high level of accuracy
Ability to communicate clearly and professionally in both verbal and written forms
Demonstrated expertise in Microsoft Word and Excel as well as database management. Experience preferable with Raiser’s Edge 7.0
Ability to organize and prioritize multiple projects and meet deadlines in a time-sensitive environment
Graphic design skills desirable
