Antilles School is seeking a skilled administrative assistant to provide assistance and support to the middle and upper school directors. The Administrative Assistant manages the office and coordinates all day-to-day activities and services provided to students, parents, faculty, and staff. Creating and sustaining effective working relationships, responding to the needs of multiple constituencies, scheduling, and performing general clerical duties, this role is critical to the successful operation of the School.
Primary responsibilities include:
Maintaining the schedules of the middle and upper school directors
Managing the electronic and paper filing systems of correspondence, records, calendars, and databases
Recording attendance for middle and upper school students, faculty, and staff
Scheduling substitute teachers
Preparing a wide variety of reports and correspondence
Processing invoices, purchase orders, requisitions, mailings, deposits, and other paperwork
Monitoring inventory and use of supplies, material, and keys
Securing the availability of office equipment, tools, and supplies
Liaising among faculty/staff, the maintenance department, admission, and the business office.
Serving as Registrar for the middle and upper school division
Performing other duties as assigned.
A bachelor’s degree is preferred with successful experience performing the duties and responsibilities associated with this position. An ideal candidate is organized, self-directed, and able to problem solve and attend to multiple high priority tasks with attention to detail and a sensitivity to confidential information. An understanding of, and a commitment to, a culturally and ethnically diverse population is essential.
