Position Purpose: Provides clerical and administrative support and organization to the Lower School Division Head, Faculty and Staff.
Operates the school’s phone system; directs calls to the appropriate party, takes messages and provides information and assistance to callers.
Professionally greets and assists faculty, staff, students and visitors; answers questions for faculty, staff, parents, students and others.
Assists with document preparation and other office duties as directed.
Operates a variety of office business equipment associated with school activities including computer, postage machine and fax machine.
Assists LS Division Head with calendar, travel arrangements, scheduling appointments, managing documentation for frequent school trips, Back to School night, St. Andrew’s Day, Lessons and Carols, Grandparents Day, and Field Day.
Maintains daily tardy records and manages planned absence forms.
Assists in organizing yearly individual/class photos for Lower School.
Point person for all incoming calls and visitors on campus.
Functions as one of the primary security positions in the school.
Maintains supplies for and assists faculty, students, and parents in the use of office equipment (copier, fax machine, and postage meter).
Receives and sorts all paper coming into the office (incoming and outgoing mail, student and parent forms being returned to the school, and deliveries).
Assist in planning faculty meetings for the Lower School throughout the year.
Contribute positively to employee morale; maintains a positive, pleasant demeanor to all constituencies.
Assists Lower School Division Head and LS Faculty in any additional duties as requested.
Family emergency form organization and student record management.
Writing and distributing a weekly newsletter to the lower school community.
Manage communication with school food service.
High school diploma or GED and a minimum of two years of experience in a similar position. Associate or bachelor’s degree in subject matter preferred.
Attention to detail and high level of accuracy.
Effective organizational and people skills.
Demonstrated ability in handling sensitive and confidential information.
Proficiency in Microsoft Office modules and Google Drive, Docs, Surveys, Sheets, etc.
Experience in school offices is preferred.
