We seek a colleague who has experience working in a fast-paced environment where addressing student needs, and the needs of their families, is a priority. The ideal candidate will be comfortable leveraging technology to improve upon existing processes and interested in developing new systems of organization. Reporting to the Dean of Students the Assistant to the Student Life Office is a member of the Student Life team and will be the main point of contact to the Concord Academy (CA) community including students, parents, and faculty/staff, and therefore must demonstrate professionalism and exceptional customer service at all times. The Assistant to the Student Life Office must be able to prioritize in order to respond quickly and effectively to student needs and other situations as they arise.
The Student Life Office, under the direction of the Dean of Students, is comprised of the Director of Residential Life, the Director of Student Life, and the Director of Student Health and Wellness. All aspects of the CA community work closely with the Office of Community and Equity.
Provide superb customer service to students, parents, and stakeholders by phone, email, and in-person regarding any student-related questions, concerns, and requests.
Assist the Student Life Office in completing special projects, strategic planning, assessment, and implementing new initiatives.
Oversee the registration process annually, which includes work with various constituents for clarity of information requested to best fulfill our mission.
Provide office support such as mailings, school mail sorting coverage, filing, etc.
Utilize PowerSchool (the student information database) to prepare reports.
Coordinate and manage various student life and public facing calendar(s) under the direction of the three Deans. The calendar is fed to the school database and google calendar using the Trumba database, thus the assistant will interact with this database frequently.
Coordinate and oversee student school trips including but not limited to: budget, payments, extensive travel arrangements, and chaperones.
Sign students in and out of the school following CA’s protocols and permissions granted to each student.
Assist with travel preparations, expense reporting, events, and logistics as needed.
Coordinate student staffing for the Student Life Office.
Manage student workers for the Student Life Office – provide supervision, training, and support.
Triage email for the Student Life Office, assigning the emails to the appropriate individual
Additional duties assigned.
2+ years of related experience in an academic environment strongly preferred;
Proficient in Google Suite (particularly Google calendar), and MS Office.
Knowledge of Trumba or other web-based calendar management software, and PowerSchool or other student information systems preferred.
Excellent written and oral communication skills; with strong organizational and interpersonal skills and attention to detail.
Project/event management experience.
Desire to be part of CA’s community and participate in its success.
Demonstrated ability to efficiently manage processes related to student support services.
Excellent interpersonal skills, cheerful and positive approach when working with students and other stakeholders.
Self-motivated; must be comfortable working both independently and collaboratively within the context of a team environment.
Anticipate and help to resolve problems; able to prioritize and manage multiple projects within a fast-paced environment.
Proactive attitude with the ability to exercise judgment.
Ability to maintain strict confidentiality.
Responsibility-oriented; not task-oriented.
