The Academy of Notre Dame in Tyngsboro, Massachusetts is a private, Catholic school, sponsored by the Sisters of Notre Dame de Namur and is based on the educational philosophy of their foundress, St. Julie Billiart. The Academy of Notre Dame seeks a Coordinator for the Office of Institutional Advancement. This position provides administrative support to the Advancement Team including maintenance of database records, event support and production and distribution of materials to internal and external constituents. The Coordinator reports to the Director of Institutional Advancement.
Provide administrative support to the Advancement Office
Take initiative on requests and inquiries of an administrative nature
Answer phone calls and emails directed to the Advancement Office, answer questions and resolve or refer calls to appropriate party promptly and efficiently
Assure discreet and confidential handling of all Advancement Office business
Database management of Institutional Advancement records including updating biographical and financial information
Maintain historical department files
Process and distribute constituent death notices
Log, track and acknowledge all gifts, prepare transmittals for the Business Office, and prepare donor report for Advancement Office
Assist Advancement Team with reconciling accounts with Business Office
Support Advancement Team with producing materials for annual giving fund, development/alumni events, special mailings, and annual report
Create database queries, financial reports, charts, and lists as needed by members of the Advancement Team
Prepare end of year lists and statistics to be distributed to the community and outside organizations, including materials for the annual report and annual surveys
Generate mailing labels, address lists, mailing house disks, etc. as needed
Liaison to alumni association
Provide support in planning and execution of alumni, advancement and development events
Maintain department supplies, inventory and equipment
Performs additional functions incidental to office activities including working occasional evening and weekend events
Other duties as assigned by the Director of Institutional Advancement
Strong organizational skills and attention to detail and accuracy of data/information
Ability to multi-task, prioritize and manage projects to a deadline
Professional boundaries with regard to the handling of privileged information
Database management and reporting experience
At least 3 years of relevant experience in a development office or membership based organization preferred
Familiarity with development software such as Sustain and Veracross a plus
Proficiency in Microsoft Office Suite; Word, Excel, PowerPoint
Ability to interact with constituencies both externally and on campus
Ability to work well with staff and executives at all levels
Personable and friendly
Bachelor’s degree preferred
The Institutional Advancement Coordinator is a full-time, twelve (12) month, exempt position eligible for benefits. The position is based in an office and school environment on a 200-acre campus in Tyngsboro, Massachusetts. The ability to occasionally lift files and storage boxes, walk up and down stairs, attend meetings in varying locations throughout campus, and continually use computers and related office equipment is required. Not all buildings on campus have elevators.
