Corlears School, a New York City private school located in the lively Chelsea neighborhood of Manhattan, is seeking a full-time school Receptionist and Sub Coordinator, 8 AM to 3:30 (plus sub coordination from home). This important and highly visible role is often the first contact with the school community, and serves to both welcome arriving guests, as well as answer phones and support a variety of administrative activities in the office, including managing the Head of School’s appointment and events calendar. The start date for this position is August 22nd.
The successful Office Assistant and Receptionist candidate at Corlears will possess:
Excellent communication skills and experience managing the main entrance to a workplace while simultaneously working in a busy office space and answering phones
A solid working knowledge of Microsoft Office, including mail merges, spreadsheets and other tasks, is very important
A friendly demeanor with strong ability to multi-task with ease
A professional appearance and strong organizational skills.
Answer phones, transfer calls, take messages
Retrieve voicemail messages from general mailbox
Monitor front door to maintain secure entry and exit of students and visitors.
Coordinate substitute teachers by utilizing school’s sub list and sub service to manage faculty coverage needs
Manage calendar for Head of School and assist other key administrators in booking appointments and other administrative support
Photocopy and distribute materials to support teacher, school and parent communication.
Receive and distribute mail and deliveries. Prepare outgoing mail and deliver to post office as needed.
Monitor and maintain children’s attendance/lateness records
Manage fax and postage machines. Monitor performance, order and replace supplies as needed.
Manage photocopier. Monitor performance, order and replace supplies as needed, place repair calls, notify staff of operating status.
Maintain parent emergency contact forms
Organize buses for local class trips.
Obtain free transit cards for students.
Review and revise main answering machine message as needed
Maintain parent contact information in the database
