The Advancement Associate reports to the Director of Institutional Advancement and responsibilities include gift processing, donor acknowledgment, management of the donor database, volunteer management, and event coordination. This is a full-time, 12-month position.
Specific responsibilities include, but are not limited to:
Act as the liaison with the Parents Association by attending all meetings and supporting the needs of this group of volunteers
Assist with the planning and execution of school and Parents Association events as needed; including sending invitations, tracking RSVP lists, printing name tags, and event set-up, clean-up, and follow-up
Enter gifts, process credit card gifts, and manage stock transactions within Veracross
Generate timely and accurate gift acknowledgment letters and tax receipts
Manage and update records within Veracross for families, alumni, and donors
Draft appeals, fundraising communications, and various other materials as necessary
Oversee the Advancement filing system and keep the office orderly and organized
Assist the Director of Institutional Advancement in managing and executing the advancement calendar and work plan
Research prospective donors and prepare detailed confidential reports
Assist the Director of Institutional Advancement with recognition and stewardship of donors and volunteers
Reconcile financial records regularly with the Finance Office
Produce periodic reports for leadership to include gift and pledge documentation and cash flow for financial planning purposes and auditor’s needs
Participate in Institutional Advancement Committee meetings with trustees and take minutes
Manage electronic communications as needed, including webpage updates and email blasts
Assist with any and all other aspects of Institutional Advancement activities as needed.
BA/BS and two years experience in development, marketing, or similar field
Detail-oriented, meticulous about follow-through, and able to multitask and prioritize in a dynamic office environment
Excellent written and oral communication skills
Familiarity with Veracross software or other database system
Proficient in Google Suite and Microsoft Office
Organizational competency and desire to work in a collaborative environment
Flexible schedule - some event support is required on evenings and weekends
Ability to effectively work with parents, students, caregivers, families, faculty, and staff
Strong work ethic, self-motivated, and sense of humor
Willing to pitch in where needed
