Flintridge Sacred Heart Academy (FSHA) is a Catholic, Dominican, independent, college-preparatory day and boarding school whose mission is to educate young women for a life of faith, integrity and truth. We are currently seeking an experienced Director of Facilities and Security (DFS) to oversee and maintain the school’s physical plant and facilities. FSHA was established in 1931 and is situated on a 42 acre campus, of which 8 are developed. Reporting to the Director of Finance, Planning and Operations, the DFS is responsible for maintaining physical facilities that promote a safe, well-maintained and student-focused learning environment. The DFS is responsible for managing the planning, construction, remodeling, maintenance, cleaning, safety and use of the facilities and related assets, including event setups. In addition, The DFS is an active member of Academy Administration, the senior leadership team, and is the key administrative liaison for the Master Planning Committee of the Board of Directors.
Essential Job Functions:
MANAGEMENT AND SUPERVISION
Manages a staff of nine including direct supervision of the Construction Manager and Maintenance Supervisor (who oversees three maintenance staff) and a Campus Safety Supervisor (who oversees a staff of three).
Supervisory responsibilities are full scope including recruiting, hiring, training, staff development, team building, evaluating, counseling and terminating, employee development, engagement and retention.
Oversees outside contractors for the school’s grounds, custodial and security departments on campus, an additional 10-12 team-members.
Plan, budget, schedule and oversee facility modifications including cost estimates, bid sheets, layouts and contracts.
Serves as the school’s representative for working with contractors on design and construction projects.
Maintain communications with county and city agencies as necessary to obtain jurisdictional approval, permits and inspection necessary for campus compliance and approved implementation of capital project and facility maintenance.
Inspect construction and installation progress to ensure conformance with established specifications, code and applicable governmental regulations.
Ensures the careful maintenance of buildings and grounds, equipment, vehicles and cleaning programs that keep the school’s appearance in exemplary condition.
Updates and maintains all preventative maintenance schedules and long range plans.
Ensures that all mandated inspections are completed and appropriate documentation maintained.
Directs maintenance projects for the purpose of ensuring completion within project time frames, design, regulatory requirements and budget.
Coordinate and maintain the school’s telephone, audio-visual and computer wiring infrastructure by working with appropriate suppliers and troubleshooting any related operational problems.
SAFETY AND SECURITY –
Establish and promote a safe environment by performing safety audits, employee training and inspections and by maintaining open channels of communication.
Coordinate and maintain the school’s security system.
Oversees emergency response plans, including employee training.
Ownership of compliance with OSHA and similar regulatory safety requirements.
In coordination with the DFPO, oversees compliance with the Tolog Transportation program
EVENTS - ensures facility readiness for day-to-day events as well as special events.
BUDGETING AND ADMINISTRATION – Create and administer facilities operating and capital budget.
Other job duties and responsibilities:
Plan, budget and overs campus-wide sustainability programs and efforts to reduce FSHA’s carbon footprint.
Maintains positive relationships with neighbors.
Certain job responsibilities may be scheduled in the evenings or weekends.
Executes all other reasonable duties as assigned by the Director of Finance, Planning and Operations.
Education and Experience:
A bachelor’s degree in facilities management or related field; certificate in construction or facilities management from an accredited college or university is preferred.
A General Contractors’ license is preferred.
A minimum of 8 years of experience in facilities management including work in an educational environment.
A minimum of 5 years of prior experience managing others.
Skills, Knowledge, and Abilities:
MICROSOFT OFFICE – Proficient in Word, Excel, PowerPoint and Outlook functions.
DATABASE SOFTWARE – Strong working knowledge of window based facilities software packages such as SchoolDude.
KNOWLEDGE – Among other things, must have comprehensive understanding and background in plumbing, electrical and HVAC systems.
MANAGEMENT – Experienced in managing, motivating and developing staff.
PROBLEM SOLVING & ANALYSIS – Strong ability to identify problems, conduct appropriate analysis and reach effective solutions from every day activities to the creation of facility master plans.
GOAL ATTAINMENT – Demonstrated ability to plan, set goals and objectives, organize and implement to completion.
MISSION – Provides mission based leadership to support and integrate into department practices the values and spirit of an FSHA education.
ORGANIZATION – Must possess ability to multitask, attend to detail, organize work effectively, meet deadlines and report status of work in a regular and systematic fashion; strong project management skills are essential.
COMMUNICATION – Must possess excellent written and verbal communications skills; basic presentation skills and ability to develop and present presentations to small and large groups.
PEOPLE SKILLS – Strong interpersonal and social skills. Must seek to create and maintain positive relationships with employees, parents, alumnae, donors and other Academy constituencies encountered.
INITIATIVE – Must possess the ability to proactively initiate, participate and follow through in strategic planning matters and on work assigned. Positive attitude and teamwork perspective is essential.
LEARNING POSTURE – Must maintain a learning posture, embrace change and individual and institutional growth. Expected to remain current with industry standards relating to facilities management, participate in professional development training and the annual employee retreat.
