Westridge School is seeking an Administrative Assistant to support the efforts of our College Counseling office. The ideal candidate is task-oriented with a keen eye for detail. S/he will assist with day-to-day operations as well as aid in the planning and execution for all College Counseling sponsored events. This position is part of a four-person team and reports directly to the Director of College Counseling.
Specific Responsibilities Include:
Maintain daily operations of the College Counseling office while supporting the Director and College Counseling Associates
Coordinate and schedule all appointments for students and parents with the college counseling staff as directed
Maintain and organize the College Resource Center including files and library
Purchase office supplies and materials for the College Resource Center
Maintain College Counseling online portal and physical bulletin boards, post relevant information regarding colleges, testing, events, scholarships, etc.
Oversee University of California’s Eligibility in Local Context (UC ELC)
Coordinate and support community events hosted at Westridge for colleges and universities
Organize all College Counseling workshops, parent evenings, and special programs
Schedule all college visits and assist with coordination and hosting representatives as needed
Maintain materials for Junior Family and Senior Parent Nights, interview workshops, and all College Counseling events
Responsible for all set-ups and ensuring location is ready for event
Assist with processing and submitting all support materials for college applications for counselors, teachers, and school-related documentation as directed
Post and disseminate information for college scholarships and college travel scholarship programs
Participate on Events Committee, schedule and attend College Counseling weekly meetings as well as create agenda
Collect and compile statistical information and reporting materials as requested
Proctor exams as needed
Bachelor’s Degree or equivalent experience preferred
Ability to problem-solve and navigate complex systems
Demonstrated ability to work well under pressure and within tight deadlines while maintaining flexibility to manage change
Demonstrated experience planning events, handling logistics, and dealing with vendors
Strong interpersonal, written, and oral communication skills
Strong administrative skills and proficiency in Microsoft Office Suite (Word, Excel, and Outlook), Naviance (preferred)
Demonstrated ability to exercise good judgement and maintain confidentiality
Demonstrated record as a successful team player, including the ability to develop and maintain a goal-oriented, positive attitude and good sense of humor
Passion for the mission and the ability to inspire others
Must be able to meet the physical demands of the job, which includes assisting with event set-up and breakdown. Ability to lift up to 25 pounds.
Criminal background check and clearance required.
This is a full-time non-exempt position with the flexibility to work evenings and weekends when necessary.
