Mary McDowell Friends School (MMFS), a K-12 College Prep Quaker School for students with learning disabilities, invites applications for the position of Controller beginning in August 2018. The Controller is a full-time, twelve-month administrative position and will report to the CFO.
MMFS is seeking a leader who will be an exceptional addition to our Business Office. The Controller will support the mission of the school by helping to manage the accounting, financial reporting and transaction processing functions of the School. The Controller is also responsible for establishing “best practice” operational and accounting policies and procedures and assisting with financial forecasting, planning, and budgeting as well as tuition collections.
Responsibilities and Duties
Accounting & Financial Reporting
Assist the CFO to oversee the operations of the accounting department, including the monthly close process, year-end audit, and production of monthly and annual financial statements.
Assist the CFO to design and maintain a system of internal controls to mitigate the risk of inaccurate financial results and to ensure the safety of the school’s assets.
Assist in the management and reporting of cash flows.
General Ledger - Maintain the general ledger, supervise preparation of all journal entries, reconciliation to all subsidiary systems (i.e., AR, AP, Payroll, Fixed Assets) and monthly reconciliation of bank accounts and other account balances.
Accounts Receivable - Maintain subsidiary AR trial balance, produce timely and accurate billings, manage outsourced billing services and assist CFO in ensuring timely collections of all outstanding tuition balances.
Accounts Payable - Maintain subsidiary AP trial balance and manage transaction processing, ensuring all expenditures have appropriate approval prior to payment. Oversee centralized purchasing process.
Payroll - Ensure timely and accurate processing of payroll, pension, and all other employee compensation. Manage relationship with payroll service provider and ensure compliance with all regulatory and tax requirements.
Fixed Assets - Oversee and maintain fixed asset ledger. Ensure ledger properly captures project costs as appropriate.
Assist in developing, implementing and maintaining best operational and financial processes to manage costs, ensure timely collection of revenues and improve operational efficiencies.
Produce and distribute monthly budget vs. actual reports and work with budget owners to help them understand their results.
Assist CFO in producing financial projections, budgets and forecasts throughout the year.
Assist in the development of more stringent cash flow reporting.
Assist CFO with the year-end audit and working with external auditors.
Provide support to the Human Resources Manager as needed.
Provide event support to the Development Office as needed.
Strong written and verbal communication skills.
Required proficiency in Microsoft Office, specifically Excel, and the GSuite of applications.
A proactive, self-directed approach with the ability to multi-task and learn quickly in a fast-paced environment.
Strong work ethic with the ability to work extended hours during critical periods.

This position supervises the senior accountant and the accounting associate.
This job operates in a clerical office setting and is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 9 a.m. to 5 p.m. with a half hour paid lunch. Evening work may be required as job duties demand and will be scheduled in advance.
Travel between campus is necessary on occasion and are within walking distance of each other.

BA in accounting with minimum five years experience in public or private accounting
