The Allen-Stevenson School, founded in 1883, is a K-9 independent school for boys with an enrollment of 420 students. The School seeks a Special Events and Alumni Relations Associate, a key member of the Development team, to build upon an established and successful program of fundraising and engagement of the School’s constituencies, including parents, alumni, past parents, grandparents and friends.
Reporting to, and working in conjunction with, the Associate Director of Development and Alumni Relations, the Special Events and Alumni Relations Associate will be responsible for the successful execution of a variety of fundraising and cultivation events throughout the year, as well as alumni communications and special young alumni initiatives, including the 8thGrade Legacy Gift.
Oversee all aspects of the annual Spring Benefit with Co-Chairs and Parents Association, including timeline development, consultant, volunteer, and vender management, sponsorships, revenue and expense tracking, and material development.
Oversee annual Benefit Raffle logistics, volunteer management, and stewardship of gift-in-kind donors.
Partner with the Associate Director of Development and Alumni Relations in organizing cultivation and stewardship events for current parents and other constituencies including dinners, cocktail parties and breakfasts.
Partner with the Communications team in creating invitation copy, and executing mailings for all event invitations.
Accurately prepare and track RSVP lists, produce nametags, and oversee post-event follow up
Support the Director of Development and Development Associate with campaign and community-building events, and other campaign events as needed.
Prepare and Monitor revenue and budget tracking for events, and ensure accurate expense processing.
Oversee all in-house event operation schedules and work closely with faculty and staff to ensure smooth preparation and execution.
Manage the A-S Grandparents and Special Friends Day logistics, lists, preparation and volunteers for 200+ people in coordination with the Development Office and Lower School.
Partner with Development Colleagues and Alumni Liaison, David Kersey h’98, to create and manage a program of events aimed at specifically engaging and stewarding alumni including, but not limited to, Alumni Reunion Weekend, Alumni Networking and Affinity Group events, Regional gatherings, Alumni Speaker Series, Young Alumni programming, and Closing Exercises.
Work closely with the Alumni Liaison on volunteer cultivation, stewardship, birthday recognitions and other projects
Manage and execute the monthly Blue & Gold e-Newsletter and content for the bi-annual Lamplighter magazine, including creating copy and news stories in partnership with the Communications department.
Oversee all aspects of Alumni data entry, and ensure records are accurately and regularly updated, including adding constituents, updating biographical information, noting pertinent information collected for Blue & Gold e-Newsletter
Manage the 8thGrade Legacy Gift, and Legacy Gift Parent Volunteers, including working with 8thGrade Student Council reps to select, and fundraise for the gift in conjunction with their families annual giving to the school.
In partnership with Director of Development, manage the quarterly Alumni Council meetings and materials
Analyze attendance and event revenue for alumni events
Support Associate Director of Development and Alumni Relations with fundraising and stewardship of Alumni donors as needed
Conduct research on current and prospective donors and volunteers as necessary
Manage and lead other events and tasks, as assigned, to fulfill goals of the School and the Development Office
Bachelor’s degree and at least two (2) years of professional experience and demonstrated success in special events and alumni relations or volunteer management.
Advanced understanding of the functions of a Development Department
A can-do attitude with the ability and desire to develop strong relationships and motivate volunteers as well as a strong team ethic and sense of professionalism.
Highly organized with strong time management and analytical skills
Clear communication skills, written and verbal with an excellent command of office technology tools, including Microsoft Word, Excel and donor databases
Willingness to fully embrace the Allen-Stevenson mission and culture
Prior experience with event production for 250+ attendees
Prior experience with Alumni Relations and/or experience in an independent school
Prior experience with Senior Systems database
