In this full-time (12 month) role, the Database Manager reports to the Director of Development, and is an integral member of the Alumnae and Development team. The Database Manager is responsible for managing Raiser’s Edge, the alumnae portal through Blackbaud’s NetCommunity, and gift administration. The position also provides ongoing support for mailings, events, annual and capital campaign administration, Alumnae Board of Governors, Parents’ Association and additional activities which may arise.
Manage all data input in Raiser’s Edge and monitor to ensure consistency, accuracy, integrity, confidentiality, and efficiency of data
Create/import new donor records
Manage coordination between Raiser’s Edge and the alumnae portal
Input all address changes and other constituent information
Manage and regularly clean up data, including addressee salutations, business information, duplicate information, relationships, lost addresses, deceased constituents, etc.
Create, clean up and maintain donor files, including hard copy and electronic filing
Create templates, queries, reports, and exports when needed
Support development staff in their data needs, including running reports, creating mailing lists, setting up appeals, etc.
Manage all gifts: cash, check, credit card, stock, and online donations
Process all gifts and prepare gift receipts; scan and file all tax letters
Oversee matching gift processing and follow-up
Prepare gift and pledge acknowledgement letters in a timely manner
Proofread donor letters for accuracy
Reconcile gifts with the business office weekly, at month-end and year-end
Prepare appeal letters and pledge reminders
Run donor lists for annual report
Create regular gift and program reports to meet the needs of the program directors and design custom Crystal Reports as needed
Assist the Director of the Westover Fund in preparation of lists and reports to share with volunteers, development committee etc.
Assist the Director of Development in preparation of reports and presentations to share with Trustees
Collaborate with the Director of Alumnae Affairs and Director of Donor Relations in generating other lists and reports related to events, Reunion Weekend, Trustee meetings etc.
Manage fiscal year shutdown reporting and ‘roll over,’ working closely with the Director of the Westover Fund and the Director of Development
Assist development staff with Westover Fund mailings, event invitations, name tags, and other mail merges as needed.
Support special events execution
Complete required annual surveys for CASE/NAIS and other independent school organizations
Bachelor degree and background in relational databases
Experience in Raiser's Edge preferred
Proficiency in Excel, Word, PowerPoint and Google Docs
Strong writing and proofreading skills
Excellent organizational and critical thinking skills
Strong attention to detail; commitment to data accuracy, integrity, and confidentiality
Effective time management; ability to set/fulfill priorities, multi-task and meet deadlines
Highly motivated and able to work both independently and collaboratively as part of a team
Independent school experience preferred
Flexibility to work extra hours for development-related weekends and evening programs and special events
This position is a full-time salary position and is eligible to participate in Westover’s benefits program. Some evening and weekend work is necessary.
