The Peck School, an independent, coed K-8 elementary school located in Morristown, NJ seeks a full-time Executive Assistant to the Head of School to support a dynamic and engaged Head’s Office and to be an integral member of The Peck School community. The Executive Assistant to the Headmaster is a key member of the administrative staff and reports directly to the Head of School. The Executive Assistant to the Head of School is a highly skilled and flexible professional who understands and employs diplomacy while supporting the Head of School in his relationships with all constituent groups within the school community.

Represents the Head of School to persons who, by phone or by visit, request a meeting or information. Employs sensitivity, skill and knowledge of appropriate protocol for communications with internal and external constituencies always ensuring the office is represented in a professional, hospitable, and responsive manner.
Manages and maintains the Head of School’s calendar; prioritizes requests for the Head of School’s attention by managing the scheduling of meetings and appointments, coordinates activities and agendas, travel and work time, etc. Keeps the Head of School informed of potential issues and uses tact and diplomacy in rescheduling meetings due to unforeseen conflicts.
Manages the all-school public calendars and coordinates the scheduling of all events within the school, in collaboration with faculty, staff and administrators.
Establishes systems and procedures to ensure the Head of School is provided with the necessary background information and briefing materials for meetings, events and speaking engagements; researches, organizes, prepares, and presents information in a clear and concise manner.
Independently researches, prioritizes, and follows up on multiple incoming issues and concerns addressed to the Head of School, including those of a sensitive and/or confidential nature; determines appropriate course of action, referral, and/or response.
Manages office information flow, i.e., collection, dissemination, storage, retrieval and disposal. Develops appropriate systems for tracking incoming and outgoing correspondence; referring mail to appropriate offices; following up to insure prompt action; coordinating input from multiple sources for Head of School's output. Creates, composes, and edits correspondence and documentation, keeping the Head of School apprised of noteworthy redirected correspondence and its disposition.
Supports the Head of School in letter writing and other written communications.
In conjunction with the Strategic Communications office, helps maintain a digital presence for the Head of School on the school website, social media channels, and school newsletters.
Represents the Head of School's interests and perspective in meetings with staff and others; assists in advancing discussions and issues, preparing the way for action by the Head of School.
Supports The Peck School Board of Trustees by preparing board meeting packets; drafting and sending email correspondents to the Trustees as directed by the Head of School or requested by the Board President; attending full Board meetings, serving as recording secretary and preparing detailed minutes; reviewing meeting minutes with the Board Secretary and publishing them in a timely manner; providing clerical assistance to members of the Board of Trustees as directed by the Head of School; and helping organize and plan logistics for Board meetings.
Manages a variety of special projects for the Head of School, some of which may have institutional impact.
Helps oversee the execution of major school events, including graduation and faculty and staff celebrations.
Performs other duties as assigned by the Head of School.
Supports the school and its leadership.
Required Skills and Abilities
Excellent interpersonal and communication skills.
Strong writing and editing skills; ability to write and format professional correspondence, memos, and support documentation.

Team-focused; hospitable and professional manner when dealing with staff, volunteers, parents, students and others.

Advanced proficiency in Google Apps for Education including Gmail, Google Drive, Google Sheets and Google Slides; knowledge of word processing, email, calendar, document distribution, and network software.
Required Education and Experience
Office management experience in support of a senior executive preferred.
Experience providing administrative support for an organizational governing body in a non-profit, educational, or corporate setting; experience interacting with trustees, donors, and dignitaries.
