Organize Athletics and Wellness Center schedule using the Event Management System (EMS) to input all activities taking place in the building, flagging conflicts or impacts of significant changes.
Produce and distribute necessary weekly and daily building schedules to the appropriate staff for smooth front office operations and room set-ups.
Control all invoicing, expense reports, reimbursements and credit card reconciliation for Athletics and Wellness division
Manage transportation and logistics for PE as well as any other school related activities involving use of the athletic and wellness center (ie. special event days). This includes scheduling, tracking invoices and ensuring accurate payment.
Coordinate and execute special events with appropriate event manager ensuring all on site needs are planned accordingly.
Control lunch ordering for 406 on a monthly basis. Confirm menu with Flik and distribute accordingly to staff.
Manage relationships with rental prospects to determine space availability and pricing criteria, gaining approval from the Division Head.
Supervise current rental clients and foster positive relationships resulting in high retention levels and revenue growth.
Create, edit and manage rental contracts under the direction of the Division Head, with final signing authority from the Chief Administrative Officer.
Monitor submission of signed contracts, certificates of insurance, and payment tracking for each rental client.
Identify and prioritize prospects and make prospect contacts to increase business.
Maintain athletics team schedules on the website for all teams.
Manage assignment of officials and referees for athletics contests and handle associated billing.
Confirm all games with other schools and their school representative.
Along with the Athletics Director of Competitive Sports, manage scheduling of athletics transportation. This may also include reconciling invoices on a regular basis to ensure accurate billing.
Distribute weekly athletics regs to all other school divisions providing event and team information for student and faculty knowledge.
This position is also responsible for any additional tasks as delegated by Head of Athletics and Wellness, not previously mentioned, that are needed to maintain and/or oversee the success of the Division and its activities.
Bachelor’s degree and 3-5 years of related experience
Knowledge of the athletics and athletic administration
Demonstrated proficiency in scheduling and related software management
Excellent written and verbal communication skills
Experience managing multiple assignments and projects in a fast-paced environment
Ability to work accurately and effectively on tight deadlines
Strong analytic and problem solving skills with the ability to take initiative and request guidance appropriately
Ability to understand organizational confidentiality requirements and exercise discretion
Ability to work independently, to work in a team atmosphere and to work in a cooperative manner with people from a wide variety of backgrounds
Ability to be results-oriented and make constant progress to achieve goals
Ability to communicate effectively with clear, concise written messages through memos, emails and reports
Proficiency in Microsoft Office and Google Suite applications
