Lincoln School is looking to hire an experienced Full-Time Advancement Events Officer to join a growing team and will play a prominent role in executing the logistics for all events within the Advancement Department. The Advancement Events Officer needs to be organized, enthusiastic, and interested in building a community through events. The ideal candidate will see opportunities in obstacles and thrive in a fast-paced environment. They will love the behind-the-scenes details that are essential to the success of events and understand the importance they play in our engagement and fundraising strategies. They will also be a results-oriented person with excellent planning and organizational skills, strong attention to detail and the ability to anticipate deadlines, prioritize and manage multiple tasks.
Leads and executes event logistics for all Advancement Department events with an eye for the guest experience and meeting the stated goals and desired outcomes. Advancement events include but are not limited to Alumnae & Reunion Weekend, Lincoln's Spring Benefit, and Visiting Speaker Series.
Manage the budget of each event.
Manage the design, print, and mailing of all event collateral.
Source vendors and manage vendor relations for all events, including but not limited to requesting proposals and evaluating contracts.
Provide ongoing and timely communications with venue managers, vendors, Lincoln Maintenance and Advancement Departments regarding each event's structure and needs.
Maintain regular and efficient communication with volunteers, guests, and the School community regarding events.
Provide on-site coordination to deliver high quality, successful, and professional events. Serve as chief problem solver for unexpected logistical challenges.
Work with the Associate Director of Advancement to manage volunteers and determine staff support for each event.
Manage all post-event wrap up, including but not limited to tracking of attendance and vendor payments.
Assist the Associate Director of Advancement with alumnae engagement events and programming, as well as managing content of Lincoln Connect, our digital platform for alumnae.
Enthusiastically accepts other duties as needed and assigned.
Bachelor's degree required
Minimum of three years' experience in event management, or relevant role
Strong organizational skills
Ability to work on multiple tasks and proposals in a fast-paced environment
Demonstrated track record of producing successful events across multiple constituencies
Proven ability to partner with internal departments, senior staff, faculty, and volunteers
Highly energetic, collaborative, and proactive
Attendance at night and weekend Advancement events is required
