The Webb Schools is searching for an experienced registrar to join our school community. The ideal candidate will have previous experience with complex scheduling in an educational setting. Candidates must possess excellent computer skills – advanced skills in Microsoft Word and Excel required, experience with student databases and Blackbaud/Whipple Hill scheduling software a plus. Candidates must be professional and collaborative, detail-oriented, and able to work independently and on deadline. Excellent written and verbal communication skills, creativity, and strong problem-solving skills are needed.
The registrar reports directly to the director of studies. This position interacts with administrators, faculty, staff, parents, and students.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Specific responsibilities include, but are not limited to:
Create and maintain current student records, including updating student/parent information in Webb’s Student Information System
Coordinate the course selection process, including updating relevant materials and managing the online sign-up process
Review new/transfer student records and coordinate appropriate scheduling with the director of admissions and the director of academic affairs
Create a master schedule for all students, teachers, and rooms
Manage course archiving and enrollments in Webb’s Learning Management System Haiku
Track student progress toward graduation and communicate to necessary parties
Work with students on course changes and update student schedules to reflect rescheduling
Process, review and distribute grade reports
Confirm transcript accuracy
Confirm athletic eligibility
Prepare and deliver all student records and transcript requests
Coordinate with College Guidance to upload transcripts and provide additional information from student records as needed
Maintain and back-up student records according to academic records retention policy
Coordinate UC Approval and AP Audit; coordinate administration of AP exams
Coordinate submission of extended time requests to College Board with school counselors
Serve as advisor for a group of 6-9 students, providing guidance in academic, extracurricular, social, and personal areas and serve as the school’s key liaison to parents.
