The Administrative Assistant for Admission will report to the Assistant Head of School for Enrollment Management and will work to support all members of the admission office. In addition to regular admission responsibilities, this individual will participate fully in the life of the School and other duties as assigned.
This person needs to be positive, upbeat, and energetic, and must enjoy working with people of all ages. Strong interpersonal skills and high emotional intelligence are essential in this position. The ideal candidate also has an understanding of best practices in independent school education and understands the culture and priorities of our school community: strong relationships and high expectations.
This person serves as a representative of Newman, displaying courtesy, tact, consideration, and discretion in all interactions with other members of the Newman community and with the public. This person will help to inspire families to want to join the Newman school community.
Excellent organizational skills, office management, data maintenance and analysis, with the ability to meet strict deadlines are critical to the position. A strong candidate will be a detail oriented team player with strong communication, troubleshooting, organizational and customer service skills. The ability to maintain the highest level of confidentiality is also vital.
Participate in recruitment activities and provide information on admission procedures/activities:
Provide information to applicants/parents by phone
Respond to email requests and inquiries
Respond to walk-in visitors
Work with the admission team to promote programs and attract students:
Assist with the organization of open houses, visit days, and tours
Coordinate standardized testing of applicants
Oversee student interview schedules
Assist in the tracking of the departmental budget:
Reconcile credit card statements
Process invoices and billing for admission items
Electronic and paper file management for all applicants:
Teacher recommendation requests
Handle all data entry for the admission office:
Process applications, enrollment contracts, re-enrollment contracts, and withdrawals through the school's database, Blackbaud.
Create statistical reports as requested:
Handle SEVIS process:
I-20's for international students
Interact with various constituents of the school:
Attend calendar meetings and maintain office calendars
Request setups from catering/dining hall
Reserve spaces with facilities
This is a full-time (12 month position) non-exempt position with benefits.
