The Facilities Operations Coordinator will work closely with the Director of Facilities to support all facilities activities. The Facilities Operations Coordinator is responsible for the coordination and administrative oversight of facilities planning, maintenance and housekeeping for the efficient operation of the facilities at Buckingham Browne & Nichols School.
Specific responsibilities include
Supports a variety of administrative duties (schedule meetings, presentations, meeting minutes, etc.) regarding day to day maintenance and operations, capital planning and general office support functions.
Assists with all Facility related issues such as, but not limited to, emergency management and response, building inventory data, CAD/electronic files, customer service issues, event support, landscaping, etc.
Prepares reports, analyses, and presents materials as requested. Assists with Facilities capital planning and small project management initiatives. Works with other team members within the Facilities department and project managers to assist with feasibility studies and overall campus operational and capital projects as needed.
Compiles monthly reports and metrics for facilities, sustainability and maintenance related activities.
Assists with 5 year deferred maintenance planning
Reviews drawings, submittals, and specifications for compliance to BB&N standards and requirements
Assists with other project related activities as required. Works closely with construction team to ensure proper turn-over of projects and operational functional needs, including commissioning, training and project closeout.
Helps with preparing building assessments and building information compilation.
Maintains and updates Computerized Maintenance Management System (CMMS)
Assists with holiday break project management and coordination
Provide backup/support for work order system (SolarWinds) and fulfills work order requests in a timely manner as needed
Provide backup/support for event setups during busy periods
Proactively conducts weekly building tours compiling punch lists for work orders/projects.
Maintains paper and electronic filing system of all relevant planning, design and construction related activity.
Maintains all compliance manuals and binders
As required and assigned, works on specific activities and projects to improve overall effectiveness of BB&N Operations.
Performs other duties and responsibilities as assigned.

Bachelor’s degree preferred or equivalent in facilities management, business or engineering, coupled with 5+ years’ experience supervising facilities construction, maintenance, or ongoing operations, including trades supervisory experience. Previous experience in an independent school or other educational setting desired. In addition, the Facilities Manager will demonstrate the following:
Proven management skills in the area of personnel, time, cost, quality, facility and property management
Very strong customer service orientation preferably in a non-profit, retail, educational or hospitality environment.
Must enjoy a child-centered environment
Expertise in and an aptitude for administration, management, construction management, mechanical equipment, landscaping, technology applications (FMIS), purchasing, supervision, security & safety and general services
Knowledge of building codes and regulatory environment for facilities management.
Good organizational, verbal & written communication skills.
Computer literacy with excellent Word, Excel, and database skills. Comfortable with learning new software.
Must be available to be on campus on short notice, for emergencies and other unforeseen facility needs.
Event management experience
Must have the ability to work independently and as a team member.
