Summary: This position is responsible for maintaining academic records, including official transcripts, for current and former students. This position also works very closely with the Director of Studies to create academic schedules. The Registrar and Data Manager position requires technical proficiency to manage data integrity and data process flows that affect other offices.
Maintain student personal and academic records (electronic and paper).
Manage and update student files, such as grades, comments, standardized test scores, etc.
Manage and update student information in Senior Systems database, including entering new student data once admissions receives signed contracts.
Collecting transcripts from previous school(s). Entering all information into databases (Senior Systems and Naviance).
Handle transcript requests from current and former students, in conjunction with the college advising office, where appropriate.
Embrace the School’s database capabilities as a super-user, using resources to train and continually adopt new technologies to aid in the efficient and accurate data management systems.
Handle transcript requests from families of students who withdraw from school and communicate with the students’ subsequent school.
Create reports from Senior Systems using Crystal Reports for various school offices.
Assists other offices with Form Builder and SS reporting requests.
Summer office presence, taking on applicable responsibilities of Academic Office Administrative Assistant from Mid-June to Mid-August.
Assists ITS with data transfers for new students and new faculty each summer.
Initiate quality assurance on data by checking and cross-checking as required to ensure accuracy.
Manage communication with SYA, exchange programs, placement programs, and consultants.
Manage class coverage for absent teachers, including processing pay requests to the Business Office.
Manage make-up and extended time testing in the Academic Office.
Coordinate proctors for extended time exam testing for Mathematics and Science exams.
Collect and store copies of end-of-term assessments.
Order and prepare diplomas for graduation and for graduates who need a replacement diploma.
Submit appropriate paperwork to NCAA.
Schedule and Qualifications
Some Saturday work is required on Saturday mornings. Time on Saturday will be swapped with other time elsewhere in the same work-week as flex-time. The registrar will also have to work on other occasional weekend days and holidays depending upon when school is in session. For example, the School is generally open on Memorial and Labor Day.

Software proficiencies must include: SAP Crystal Reports, MySQL, Excel Word, Outlook, SharePoint, OneDrive, PowerPoint, relational database software, Form Builder.
Works well with others, flexibility, and a willingness to help where needed.
Technologically savvy and able to learn new software programs.
Excellent communications skills, especially via telephone with parents.
Strong problem-solving skills.
Knowledge of document management and retention best practices.
This position includes sitting, standing, kneeling for filing, and walking from office to office. The position will use a computer, including keyboard and monitor throughout each workday. Visual acuity to type, read, and recognize students is required. Hearing ability is required to communicate with co-workers, students, and parents in person and via telephone.
