St. James’ currently has an available position for Front Office Coordinator. The ideal candidate has a warm and confident demeanor, able to handle greeting each visitor with a smile, while overseeing the everyday functions of the Front Office. This individual will be a self-starter with great organizational skills, excellent phone etiquette, and strong writing abilities. The Front Office Coordinator reports to the Assistant to the Head of School.
Manage and maintain strong working knowledge of school calendar and events
Prepare expense reports for the Head of School Office
Copyediting of school publications and literature
Bookkeeping for the Parent Association
Answer phones, greet and direct visitors, take and relay messages, coordinate with vendors; provide routine information to students, parents or guardians
Perform a variety of clerical activities, including preparing routine correspondence, sorting and filing of records, documents, mail and other material
Assist with attendance, absence and tardy tracking; enter information into a proprietary student information system; generate lists, rosters and reports as needed
Operate a variety of contemporary office equipment
Organize and maintain office common areas
Order office and meeting supplies
Assist with event coordination as needed
Perform related duties as assigned
Experience in a Front Office/Administrative Assistant role
Proficiency in MS Office, Google Suite, Mac Operating System
Excellent telephone and email etiquette
Warm and welcoming demeanor with strong communication skills
Ability to handle multiple tasks at once and prioritize them appropriately while projecting a sense of calm
Professional writing skills with the ability to proofread accurately and efficiently
Self-motivation to anticipate needs and learn quickly
