Advancement Coordinator Position General Description Cascades Academy is seeking an Advancement Coordinator to join the team for the 2019-20 school year. The Advancement Coordinator works closely with the Director of Advancement to support all fundraising campaigns, community events, marketing and communications, as well as serving as the database administrator and liaison with the business office to keep all records accurate and up to date. General Administrative Support - Support the coordination of meetings, materials, and communications as needed
- Manage expense reporting and reimbursements as needed
- Attend weekly front office meetings and help ensure smooth running of the school
- Provide backup support for the front desk
- Support the Director of Advancement and perform other duties as required or assigned
Gift Processing and Database Management - Record, process, and track all gifts and donations, and regularly reconcile with the business office
- Maintain ongoing accuracy of fundraising database records
- Create and run regular lists, reports and exports from database as needed
- Support year-end audit and IRS 990 filing with business office
- Support planning and roll-out of annual fund campaign, including:
- Prepare solicitation lists and mail merges for annual fund mailings
- Track and follow-up on corporate matching and in-kind gifts
- Track and generate electronic pledge reminders and send acknowledgements in a timely manner
Event Planning & Support - Send event invitations, take RSVPs, organize vendors, and oversee logistics for all events organized by the Advancement Office
- Serve as event lead for select events
- Support the Auction Committee and Director of Advancement
Community-Building and Stewardship - Coordinate and manage the Volunteer Program
- Support the Parents Association
- Establish strong working relationships with volunteers and donors alike, and participate in stewardship and cultivation efforts
- Support the Director of Advancement in donor stewardship and cultivation
- Assist with the Alumni Program
Marketing & Communications Support - Maintain and update website content, including copy, photos, and video
- Regularly photograph and video the daily, monthly, and annual activities of the school, and maintain media archives
- Coordinate professional photography as needed to keep digital and print materials up to date
- Produce video content for website and social media
- Create and execute a social media plan
- Support weekly email newsletter to community with latest information and updates
- Organize, order, and track school merchandise
- Assist in management of grade report process
Print Materials - Support the publication of print materials (brochures, newsletters, etc.) with writing, editing, photography, and layout contributions
- Keep school signage and bulletin boards up to date with current events and photos
Desired Skills & Qualifications The ideal candidate will possess: - A Bachelor’s degree
- Two or more years experience working in a school fundraising office
- Very strong written and verbal communication skills
- Detail-oriented with commitment to high level of data integrity and accuracy
- Fluency and experience with fundraising databases, confidence in learning and troubleshooting new databases
- Must be proficient in: Macintosh operating systems, Microsoft Office components, Google Suite; Desired proficiency in: iMovie, Adobe InDesign, and photo editing tools
- Experience in event planning and project management
- Ability to keep information in the strictest of confidence
- Strong ability to exercise independent judgement to manage multiple projects to deadlines with minimal oversight
- Ability to thrive in a fast-paced, open work environment with a sense of humor
- Ability to handle interruptions and other unexpected events and make necessary adjustments in a poised and professional manner
- Entrepreneurial mindset: strong work ethic, energetic, tenacious, flexible, and resourceful
