The Mission of The Abbey of Saint Mary and Saint Louis/Saint Louis Priory School is to provide a Benedictine, Catholic, college preparatory education of the highest excellence so as to help talented and motivated young men in grades 7-12 develop their full potential as children of God. The purpose of this role is to oversee student billing and payment plans, assist with accounting duties, and serve as a liaison between families and the Business and Admissions Offices regarding enrollment and tuition assistance.
This position is based out of the Business Office and reports to the Director of Finance. The position works full-time 12-months per year and is eligible for PTO and benefits.

The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
Essential Functions – Student Billing
Responsible for all aspects of Student Billing including the maintenance of Student Billing system (Smart Tuition).
Responsible for the proper general ledger posting of all cash receipts.
Process all charge imports.
Process cash receipts (cash, checks) and enter data into the Blackbaud Financial Edge for all tuition and non-tuition related transactions.
Posting payments to student accounts not processed by Smart Tuition.
Coordinate with Enrollment Management during re-enrollment process and throughout the year for student changes.
Daily liaison with parents including face to face meetings, phone and written communications regarding student accounts.
Prepare regular reporting of Accounts Receivable outstanding and identify emerging collections issues for appropriate action by the Director of Finance.
Oversee relationship with Smart Tuition.
Essential Functions – Cash Receipts
Handle on-site banking activities of cash deposits.
Reconcile contribution revenue to Raisers Edge.
Essential Functions – Reconciliations
Reconcile Accounts Receivable ledger to General Ledger.
Reconcile Student Billing related revenue accounts to general ledger.
Reconciles students per Smart Tuition and Enrollment Management.
Reconcile Financial Aid to totals per Enrollment Management.
Essential Functions – Accounting & Finance Office Support Duties
Serve as the Accounting and Finance Office contact person for all cash receipts and all billing inquiries.
Prepare reconciliations and reports as requested by the Director of Finance.
Support other department duties as necessary and as requested.
Maintain the confidentiality of sensitive financial, student, parent, and all other data.
An Associate’s Degree in Business Administration, Accounting, or related degree is required. At least two (2) years of billing and accounts receivable experience, preferably in a school environment, is required.
Must be Computer Literate: Google, Excel, Word, Outlook, Databases, Blackbaud, Raisers Edge, Financial Edge, and Smart Tuition experience preferred.
Successful completion of a criminal background checks and attendance at a Protecting God’s Children workshop is required.
Physical Requirements / Work Environment
This position works in an office environment in generally comfortable conditions. The work space is generally quiet. The Business Office is located on the second floor of a building without elevator access. Physical activities also include those associated with administrative work (stooping, pulling, lifting, reaching, grasping, and repetitive motions with some force occasionally required for moving files or supplies needed for meetings/events) and extended hours working on a computer. This role also requires the ability to communicate by speaking and hearing/listening. Specific vision abilities required by this job include close, distance and peripheral vision; depth perception; and the ability to adjust focus.

About Saint Louis Priory School
Saint Louis Priory School – a leader in Benedictine, Catholic education for talented and motivated boys – has 60 faculty (20% monastic, 80% lay), 75% of whom hold a master’s degree and 12% a doctorate. Priory enrolls 400 boys in grades 7 through 12, the normal entry point being grade 7. In addition to a typical secondary school curriculum, Priory boys must study theology (6 years), Latin (3 years), and a modern language (4 years). Most study mathematics through calculus.
