The Advancement Services Manager ensures that the database effectively supports Advancement Office strategies and functions. Responsibilities include but are not limited to:
Ensuring database integrity and maintain efficient database and operations:
Oversight of policies and procedures pertaining to gift recording, database integrity, including routinized activities that ensure donor records are of the highest quality:
Create and execute successful processes including dashboard reporting, campaign and project reporting, end-of-fiscal year data extraction for Annual Report of Philanthropy, and constituency data, convert outgoing constituents and import new constituency records from Veracross (student records, parent records).
Maintaining volunteer records.
Manage full- and part-time and temporary gift entry staff responsible for data maintenance and gift processing and reconciliation procedures.
Collaborate on the development of donor survey instruments, the uploading of data from third party vendors to maintain data integrity.
Define and complete annual calendar of activities to ensure on-going data maintenance, and data analysis.
With Director of Advancement develop training schedule and provide staff training in use and application of Raiser’s Edge and NxT and related platforms.
Foster adaptation of new processes supporting office functions and activities.
Maintain documented policies and procedures manual, making accessible for all staff
Production of complex data queries
Work with and train Advancement staff to foster self reliance in the use of Blackbaud RE and NxT. Assist staff in the production of standard and complex reports for use in prospect management, travel planning, and analysis - including precise detailed and complex reports used for donor solicitation, analysis and reporting.
Identify and initiate solutions to meet tactical demands in fundraising and donor engagement.
Support the production of standard and custom reports for use by staff including those for prospect/portfolio and volunteer management, travel planning, research; create detailed and complex reports for direct mail and e-solicitations used by staff and third party vendors, as well as reports for use in the management of fundraising efforts including the annual fund, capital projects and campaigns.
With Advancement staff develop templates for routinized queries for use by staff for volunteer management, committee work and work with individual donors.
Responsible for interactions with Blackbaud/Raiser’s Edge/NxT system vendor and with campus-based IT staff regarding database administration.
Lead Advancement Office in knowledge acquisition of new and emerging developments of Blackbaud/Raiser’s Edge/NxT system through participation in annual conferences (Blackbaud and CASE)
Maintain ongoing knowledge of IRS guidelines for gift recording and documentation.
Oversees online gift process and implements procedures between website developer and network merchants.
Work collaboratively with colleagues on projects involving data for use by external vendors (mail houses, wealth screenings, address update services and surveys).
Serve as point person for work involving procedures to capture and imports and integrations between Veracross, Evertrue, and other platforms with Raiser’s Edge.
Represent Advancement Office in campus based technology discussions and meetings.
Skills: Organized, self-motivated with strong analytical skills; proficiencies in computer software and platforms including Blackbaud Raiser’s Edge query and report writing, MS Office suite, Google docs. Highest level of attention to detail required.
Excellent written and spoken communications skills. Strong customer relations orientation, with exacting level of attention to detail and follow through, working with a varied audience including high level donors and volunteer leaders.
High level of discretion, confidentiality and professionalism is required. Must possess a problem solving mindset and be able to manage short and longer term projects simultaneously. Ability to work full-time and occasional evenings and weekends.
Attend ongoing training and participate in professional development conferences and training on and off-campus.
A high level of database management, demonstrated expertise in program and query writing, preferable fluency with Blackbaud Raiser’s Edge.
