The Manager of Advancement Events is responsible for the strategic planning, execution, and oversight of events that advance the mission of the school. The Manager of Advancement Events will ensure all events remain in line with the Office of Advancement’s goals for fundraising, marketing, communications, and community relations. This individual must be collaborative, versatile, and extremely well organized. Excellent interpersonal, project management and coordinating skills are essential.
Events include: Maroon & Gold Scholarship Gala, Hall of Fame, Reunions, Homecoming,
Legacy Breakfast, Vines & Steins, Career Readiness, Feast of St Joseph/Grandparents Day, Home Receptions, Special Breakfasts, and other events that expand parent and alumni participation as outlined by Director of Advancement. Provide event services support as needed at various school/athletic events.
Reporting to the Director of Advancement, the Manager of Advancement Events is a part of the Advancement team
Essential Functions and Responsibilities
Provides leadership for advancement events from start to finish, including managing event budgets, creating and implementing event timelines, organizing event structure and themes.
Manages logistics (securing locations, catering, etc.) for Alumni & Family Engagement Events (Reunions, Homecoming, Legacy Breakfast, Career Readiness Day) in coordination with Associate Director of Alumni.
Maintains registration lists, nametags, and organization of event details.
Ensures the proper permits and contracts are attained and filled out in a timely manner
Partners with Advancement Services Manager to ensure proper records are retained and recorded in Raiser’s Edge.
Creates and maintains event web pages, registration forms, and social media event pages as needed.
Analyzes engagement and event metrics for benchmarking and ROI to ensure program growth and effectiveness.
Works with Finance Department to reconcile events.
Volunteer Management Duties
Maintain the volunteer database and ensure VIRTUS training of volunteers.
Recruits, organizes, trains, and motivates event volunteers in partnership with Parents Association.
Provides strategic direction for volunteers and manages expectations.
In partnership with event committees, develops a comprehensive program – designed to maximize attendance.
Staffs and attends committee meetings, video and conference calls.
Acts as the official liaison for Parents Association (PA).
Provides strategic direction and manages expectations for PA Co-Chairs.
Manages PA Co-Chairs on recruiting parent volunteers.
