Reporting to the Director of Development and Advancement, the Development Assistant will support the daily activities of the Development Office. The position provides the primary support for the Director of Development and Advancement, and supports all giving programs and administrative tasks related to Fundraising, Communications, the Parents Association, Events, and Capital Campaign planning. The Development Assistant will process and acknowledge all gifts to the Gillen Brewer School, and will maintain the DonorPerfect Online database as well as all Advancement files in Google Drive.
The position provides important data for Board of Trustees Meetings, including highly accurate and detailed fundraising reports. Along with the Assistant Director of Development, the position supports Gillen Brewer's efforts to strengthen and expand major gift and grant programs. The Development Assistant will also work closely with the rest of the Development Office on the annual Spring Benefit.
Major Duties and Responsibilities
Process gifts and produce acknowledgement letters
Create and manage lists for appeals; execute donor mailings
Help to measure and analyze returns on appeals
Confirm matching gifts and complete required paperwork
Support cultivation and stewardship events for donors and prospects
Maintain electronic and paper files for all development and advancement efforts
Complete reconciliations with Business Office monthly and before Board Meetings
Assist the Development Office in preparing for Board Meetings and trustee relations
Support the Assistant Director of Development in managing grant applications and in seeking new funding sources
Assist with GBS events, including Benefits and Parents Association events, by pulling invitation lists, tracking RSVPs, and other duties as assigned
Maintain DonorPerfect Online database
Produce reports and maintain Google Drive documents related to ongoing Capital Campaign planning
First-hand experience working in fundraising
Experience and strong comfort level with gift entry, donor acknowledgement, database reporting, and mailing lists, in a development database (DonorPerfect Online preferred)
Flawless attention to detail
Exceptional verbal and interpersonal communication skills
Comfortable working in a fast-paced environment; ability to handle multiple projects and deliver an impeccable work product
Self-motivated and detail-oriented with the ability to manage responsibilities, organize, prioritize, and complete projects quickly and independently while working with a small staff
Proficiency with Google Drive and Microsoft Office suite
