The Receptionist/Administrative Assistant is responsible for answering all incoming phone calls and greeting all visitors to the building in a professional manner and assisting the Director of Operations.
Essential Duties and Responsibilities
Operates the school’s multi-line phone system; directs calls to the appropriate party, takes messages and provides information and assistance to callers.
Professionally greets and assists staff, students and visitors; answers questions for faculty, staff, parents, students and others.
Monitors that all visitors use the check-in system when entering and exiting the building.
Sorts and distributes incoming mail in a timely manner.
Assists with carpool changes by using SchoolPass.
Records attendance in the database.
Maintains a positive and pleasant demeanor to all constituencies.
Serves as the Administrative Assistant to the Director of Operations.
College degree preferred.
Ability to apply common sense understanding and to carry out instructions furnished in written or oral form. Ability to ascertain which people may need immediate assistance and to act accordingly.
Proficient computer skills; in particular, expertise in Excel and Word.
Strong organizational skills, attention to detail, and ability to develop and document office procedures.
Self-disciplined, enthusiastic, sociable, and reliable.
Must demonstrate a positive attitude and have strong customer service skills particularly on the phone.
Bi-lingual a plus.
Physical Requirements and Work Environment
Regularly sit, talk, hear and to visually intercept visitors.
Be able to occasionally lift up to 25 lbs.
Regularly use close and distance vision.
Work at a desk and computer screen for extended periods of time.
Work in a traditional climate-controlled office environment.
