Director of Administration
The opportunity has arisen for a dynamic, warm and experienced professional to join this highly regarded British independent school and nursery. They will work in partnership with the Head of School to plan and implement educational and community activities, to grow pupil recruitment and high-quality brand awareness for the School and the Alpha Plus Group in New York.
The Director of Administration will have an entrepreneurial approach and the creative spirit to drive enrollment and spearhead outreach initiatives. The ideal candidate will love building community, working with parents, being creative to drive grassroots awareness of the school, and leading outreach initiatives. This is a full-time role during term times only.
Director of Admissions
To manage all aspects of registrations and the admissions of new pupils, including:
increasing pupil recruitment, identifying and reaching target channels, including feeder schools and nurseries, parent networks and baby groups.
working to track admissions enquiries and pupil recruitment
helping to build the invaluable relationships we share with all visiting consultants and prospective families
designing and implementing new strategies and enrollment initiatives to widen our admissions funnel and increase enrollment
building a strong and extensive network of relationships with schools, camps, school advisors and afterschool programmes
communicating regularly, warmly, and clearly with families throughout the enquiry, admissions, financial aid, and enrollment processes
selecting, training, and supporting parent ambassadors for Open House parent panels
managing the admissions section of the school website
managing admissions-related social media, community events, school fairs, brochures and flyers
planning and managing events in the admissions cycle
developing recruitment and admissions materials
working alongside the Head of School and Deputy Head to manage the school’s admissions decisions processes
supporting the Head of School in collating and evaluating Financial Aid applications
maintaining criteria for enrollment
tracking, evaluating, and reporting recruitment and enrollment data
overseeing the School Registrar to maintain the database of prospective pupils, including updating changes of contact details and status
overseeing the management of all communications to and from prospective parents, arranging visits to the school and taster tours and helping to make them feel welcome into the school community
assisting the Head of School and Deputy Head to give occasional tours to prospective families and converting leads to enrolled families
liaising with the Deputy Head to ensure all child play sessions and school assessment visits are efficiently organised
overseeing the School Registrar to record parents who have attended Open Houses and vents on the Database and follow up with letters
managing the completion of registration forms and paperwork involved for all new pupils, as well as those leaving the school
overseeing the School Registrar to acknowledge registrations and payments received
working with the Head of School to prepare and send out offer letters and contracts for prospective parents
acknowledging receipt of accepted offers and payment
maintaining the prospective parents in the SIMS database and ensuring accurate and timely data-input for every stage of the admissions process
overseeing the School Registrar to ensure that all contracts, relevant permission forms and pupil information are held on file before pupils start at the school
interfacing with parents to build community, answer questions, and resolve any concerns that may arise
safeguarding and child protection – calling schools to ensure correct documentation is received for their ex pupils. Also, creating the child protection information form to send to schools when the pupil leaves, using the My Concern school database
PA to the Head of School
Assisting the Head of School with all aspects of her day-to-day responsibilities, including:
diary management and the arrangement of meetings and visits
proactive management of the Head’s priorities
managing communications to and from the Head, including preparation of letters;
taking accurate minutes when required, including Advisory Board meetings which meet twice a year and weekly staff meetings and managing the
actions and outcomes
to assist with the day-to-day running of the school office, working closely with the school Security Officer to assist pupils, parents and visitors
to maintain a high standard of professional commitment
to co-operate and liaise with fellow staff from each department for the good of the pupils and of the school
to contribute to the overall life of the whole school
check communications to parents to ensure grammar and information is correct, including the bi-weekly school newsletter
work with SLT and the School Registrar to produce the termly school calendar card
The successful candidate will have the following skills, experience and qualities:
able to articulate what makes the school’s education, philosophy and community unique
creative, entrepreneurial, and collaborative
proven track record of successful support to a senior manager
has experience working in school admissions, administration or has worked as a Programme or School Director
experienced with office technology, including data management and enrollment systems
exceptional written and verbal communication skills
strong attention to detail with a focus on results
happy to work with children, parents, educators, and volunteers
energised by a fast-paced and professional environment
excellent organisational and planning skills with strong attention to detail and accuracy
knowledge of the local community that will inform marketing effort
ability to deal with sensitive information with discretion and to maintain confidentiality
integrity, tact and diplomacy
a bachelor's degree (or equivalent)
approachable and open manner
a good sense of humour and positive attitude
smart and professional in presentation
strong IT skills to include MS Outlook, Word and Excel and an appropriate typing speed. Experience of using SIMS an advantage, but not essential
