Reporting to the Accounting Manager, the Staff Accountant is responsible for providing accounting support to the Business Office, including Accounts Receivable, Student Billing, Payroll, and related reconciliations and audit schedules as requested by the Accounting Manager and the CFO. The Staff Accountant is a non-exempt position, which may require overtime and some weekends, as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Responsible for all aspects of Student Billing.
Responsible for maintenance of Student Billing software (currently, Veracross and FACTS).
Serve as main contact with third party tuition management company (FACTS) to manage all billing to families for tuition, auxiliary programs and other charges.
Coordinate, update, and monitor re-enrollment contracts, payment plan selections and FACTS registration.
Process all charge imports (i.e. daycare, afterschool programs, tutoring, library books, etc.).
Process cash receipts (cash, checks and credit cards) and enter data into system for all tuition related transactions.
Monitor accounts receivable and follow-up on past due balances in accordance with School policies and procedures.
Process Dewar Tuition Refund Insurance Claims as needed.
Other Cash Receipts
Process all cash receipts and enter data into the system for all non-student billing transactions.
Handle on-site banking activities of cash deposits, and special cash requirements for events such as Parent Association fundraisers.
Process semi-monthly payroll under direction and oversight of the Human Resources Manager.
Provide reports and reconciliations to Accounting Manager as needed for entry into QuickBooks.
Reconcile W-2’s annually.
Reconcile FACTS subsidiary ledger to QuickBooks on a quarterly basis.
Reconcile billing amounts with originating department (i.e. auxiliary, library).
Prepare other reconciliations and audit schedules as requested by Accounting Manager or CFO.
Process annual orders for teachers
Process periodic supply requests from teachers and staff
Manage and oversee office supplies for Main Office
Assist the Accounting Manager in reviewing and processing monthly credit card statements.
Other projects or tasks as may be assigned.
The requirements listed below are representative of the knowledge, skills, and/or abilities required for this position:
Bachelor’s degree in accounting or related discipline with a minimum of 1-3 years of experience in accounting
Experience in accounts payable, accounts receivable, student billing, payroll processing and purchasing.
Excellent oral and written communication and interpersonal skill
Ability to multi-task
Ability to effectively prioritize and execute tasks in a high-pressure environment
Ability to think out of the box, troubleshoot and resolve/know when to escalate
Able to work calmly in a face paced environment
Highly self-motivated and directed
Keen attention to detail
Exceptional customer service orientation
Experience working in a team-oriented, collaborative environment.
Strong documentation skills
Experience (preferred) in working with Turning Point School software applications that include: QuickBooks, Veracross, Diamond Mind, Microsoft Word, Excel, Power Point, and other programs
Non-profit experience and independent school experience is a plus
