The Advancement Coordinator serves as the primary support person for the Director of Advancement Information Systems and the Director of the Annual Fund. S/he is an essential member of a high-functioning Advancement Team. This is a newly created position at an energizing time for the department—halfway through a major campaign and in the midst of record growth for the Annual Fund. Responsibilities between information systems and annual fund will be complementary, as good communication will be essential to keep priorities and deadlines on track.
Essential Job Functions:
Supports Director of Annual Fund in preparing mailing lists for solicitations and donor correspondence.
Manages entire life cycle of fundraising appeals from query creation, data entry to list generation to mail merges and mailings.
Manages the Proposals tab in Raiser’s Edge to enter targets, solicitors, and pledges.
Assist with data analysis that will inform annual fund strategy.
Manages phonathon program by pulling queries and call sheets, and overseeing volunteers.
Together with the communications team and external vendors, manage design of annual fund marketing materials.
Work with the business office to reconcile Venmo and PayPal receipts on a monthly basis.
Assist with volunteer management of annual fund volunteers, specifically class agent and parent annual fund solicitors.
With time, oversee and manage build a portfolio of young alumni donors.
With time, oversee and manage Faculty and Staff annual fund effort.
Advancement Information Systems
Handles all gift processing and tax receipt generation, including cash, checks, monthly payroll deductions, stocks, and wire transfers.
Responsibility for all data entry, updates, and coding within Raiser’s Edge and Podium, including information from Human Resources on new hires and departing employees.
Prepares all gift acknowledgements, distributes for signatures, and ensures that they are scanned, folded, and mailed in a timely fashion.
Manages paperwork for all matching gift companies.
Merges and prints nametags, mailing labels, and anything else necessary to support the operations of the team.
Works with Director of Advancement Information Systems on global updates before the start of each year.
Sends gift notes for donations made in honor or memory of individuals.
Has willingness to learn and understand new databases specific for special events (Example: Auction Tracker).
Creates queries and lists of donors for communications needs.
Serves as point person for data needs with other departments within the school.
Works with Director of Advancement Information Systems to create and manage a new system for updating family information each year.
In order to complete the required job duties, the Advancement Coordinator must be proficient with Raiser’s Edge, Microsoft Office, Google Drive, as well as telephone and e-mail. The Advancement Associate must be able to learn to operate other databases as needed for coordination with school needs and specific events.
The ideal candidate will possess a Bachelor's degree or equivalent experience with a preferred experience of one to two years with Raiser’s Edge, and a desire to learn more.
Familiarity with fundraising and advancement preferred.
S/he will be well organized and attentive to detail.
Ability to work in an environment of scheduled deliverables where requirements can change.
Strong communication and interpersonal skills, with the ability to clearly convey concepts and procedures and to build effective working relationships will be essential.
Ability to work well under pressure, and to prioritize and complete tasks independently.
Ability to think creatively and strategically to support the needs of the team.
Must be a collegial, flexible and collaborative team player.
An understanding and appreciation of independent schools is preferred.
Job requires some nights and weekends for special events and preparation of special activities.
