The Director of Advancement Information Systems has the primary leadership function of managing donor information systems and data integrity for The Rivers School. S/he is responsible for providing leadership and direction to support all fundraising strategies by leveraging the power of our donor database; managing the applications and infrastructure used to receive and track revenue, including the recommendation of new applications or modules to improve these functions; establishing and developing department processes and procedures; managing the day-to-day operation and usage of the Raiser's Edge (RE) database for both fundraising and organization-wide initiatives; overseeing reporting of donor names and information about parents that is pulled out of RE; and training colleagues as necessary in using the features within RE to support the success of their responsibilities. In addition, the Director of Advancement Information Systems will also work closely with the school's student information system (Blackbaud) which is fueled by information from Raiser’s Edge and is connected with other critical school systems. This position reports to the Director of Advancement Operations and Stewardship and works closely with colleagues within the Advancement Team and across the school administration.
Essential Job Functions:
Ensures that the RE database and operations support fundraising strategies, helping to translate fundraising goals and strategies into operations.
Ensures the highest possible integrity and accuracy of donor and fundraising data by identifying and designing solutions to data integrity issues, and by bringing best practices in the fundraising field to help improve our use of RE.
Identifies giving trends and donor behaviors, and shares findings in campaign and fundraising reports.
Builds a robust suite of campaign and fundraising reports to help guide our Advancement effort strategy.
Maintains and ensures the overall effectiveness of our alumni and parents database, including identifying protocols and procedures carried throughout the Advancement team and operation toward ensuring a strong database and data for the School.
Communicates, trains, and enforces RE usage policies/standards to all users, providing additional training and mentoring for team members as needed.
Extracts data to generate accurate mailing and email lists, donor recognition lists, annual reports, and the like for both the Advancement team and for the School as a whole.
Manages the production of standard and custom reports—determining with the team which reports are needed monthly, weekly, etc. and setting them up to allow self-service reporting.
Builds custom reports for special projects when needed.
Builds queries and exports in tandem with colleagues for complex mailing lists such as planned giving newsletters, direct mail appeals, alumni magazines, and event invitations.
Works with fundraising appeals and proposals to ensure financial oversight of revenue and expenses for each functional area of the Advancement team, in partnership with the Director of Advancement Operations.
Participates in a cross-organizational committee to coordinate the flow of information among the various school databases, including Ravenna, Blackbaud Student Information Systems, Blackboard Connect, Magnus Alerts, and others.
Conducts regular screenings of data including NCOA, WealthEngine, DeceasedFinder, AlumniFinder, and other screenings that help ensure data is updated on a regular basis. Updates records accordingly using data import or global functions whenever possible.
Evaluates and improves gift input procedures; checks accuracy and completeness of gift entry; serves as backup for gift processing.
Oversees the implementation of new systems such as the RE Events Module and Blackbaud Merchant Services to maximize gift reporting and event registrations, and to simplify the donor experience.
Works with event colleagues to ensure onsite registrations run smoothly.
Works closely with Finance on monthly reconciliation and also the annual audit.
Provides data necessary for annual reporting to NAIS.
Coordinates ongoing coding of data, with support from Advancement Coordinator.
Manages the Advancement Coordinator, in tandem with the Director of the Annual Fund, setting goals and objectives, monitoring workflow, providing coaching and support, and evaluating performance.
Troubleshoots and resolves issues as they arise on behalf of the Advancement Team.
Handles other data needs as assigned.
In order to complete the required job duties, the Director of Advancement Information Systems must be proficient with Raisers Edge and Blackbaud Student Information Systems Databases, Microsoft Office, Google Drive, as well as telephone and e-mail. The Director of Advancement Information Systems must be able to learn to operate other databases as needed for coordination with school needs and specific events.
The ideal candidate will possess a Bachelor's degree or equivalent experience with a minimum experience of five years as a RE superuser and a desire to learn more. Familiarity and experience in supporting comprehensive fundraising functions (special events, annual, planned, monthly, workplace, and online giving, including highly segmented mailing lists and procedures) is required.
S/he will be well organized and attentive to detail, with an ability to work in an environment of scheduled deliverables where requirements can change. Strong communication and interpersonal skills, with the ability to clearly convey concepts and procedures and to build effective working relationships will be essential, as will the ability to work well under pressure, and to prioritize and complete tasks independently with little direct supervision. This will require strong organizational, analytical, and problem-solving skills, with the ability to think creatively and strategically.
