Fieldston Upper School is seeking an experienced Administrative Assistant to two Assistant Principals (APs) for its front office to join the Assistant to the US Principal in maintaining a welcoming and collaborative office environment for faculty, students, and parents.
The ideal candidate will have a friendly disposition, exceptional organizational skills, attention to detail, a proven record of working collaboratively with others, the ability to maintain the confidentiality of sensitive information, and excellent verbal and written communication skills. The ideal candidate will also demonstrate a genuine commitment to the values and mission of the School. A passion for working with upper school students, a flexible attitude, a commitment to lifelong learning, and a sense of humor are essential for this position. The Fieldston Upper School Administrative Assistant must move comfortably between the macro and micro aspects of the job and interact comfortably with students, parents, faculty, staff, and the entire ECFS community.
Duties and Responsibilities:
Assist the Assistant Principals with administrative and clerical functions including maintenance of calendars;
Organize events, reserve spaces, arrange logistics, ensure technology setup, order catering, and make transportation arrangements;
Work on Course of Studies yearly update;
Help to coordinate placement process for incoming Form III students (HS freshmen);
Record daily faculty/staff attendance;
Oversee scheduling and reservation of school spaces;
Assist with various HR and financial administrative functions (i.e. process purchase orders and payment requests, initiate payroll authorization forms, etc.)
Assist faculty with trip funds and deposits;
Maintain test calendar;
Assist Department Chairs with administrative tasks as needed;
Collaborate with other members of the school front office staff as well as faculty and staff throughout the division and at ECFS;
Support the Director of FSAP in preparation for and during summer program;
Process working papers for students.
Bachelor’s degree strongly preferred.
Excellent written and verbal communication skills.
Well-developed interpersonal, collaboration, and relationship skills.
Proficient with technology, including various data systems, Google platform and apps.
Must be an energetic self-starter with strong organizational skills and the ability to prioritize and juggle multiple tasks.
High level of flexibility and the willingness to do various levels of work as required.
Ability to maintain confidentiality.
Good judgment and problem-solving skills.
Must relate to and enjoy being with students.
Minimum of 5 years of proven experience with office administration—in a school setting preferred.
