Serve as accounting assistant in support of the Controller and CFO by performing the following main duties and responsibilities:
Manages multiple tasks utilizing excellent organizational and time management skills, ensuring optimal efficiency and effectiveness in completing various tasks. Demonstrates attention to detail.
Student/Global billing: entering student charges and maintaining all student financial records
Maintain School Registration spreadsheet and work with CFO to ensure accuracy
Post payment batches accurately
Prepare billing reconciliations
Financial Aid Award letters: execute mail merge and follow up; maintain related spreadsheet for all financial aid recipients
Assist in Summer Camp, EDE (after -care), ASA billing, payments, refunds
Assists Controller in FACTS administration and payment plans
Maintain current Certificates of Liability for all applicable vendors
Assist during the audit where needed, such as reconciliations of accounts, pulling files, etc.
Assist with Bank Reconciliation posting batches from the different SeniorSystems modules.
Assist Controller and CFO where needed. Other duties and responsibilities may be assigned as a result of unexpected daily requirements.
Compile and sort documents, such as invoices and POs
Substantiate business transactions while ensuring adequate supporting documentation, authorization and proper classification.
Prepare checks once a week with correct GL coding
Investigate potential issues with vendors or purchasing agents
File checks weekly and provide backup in respective vendor files
Deposit and transmit institutional funding payments from constituents
Reconcile funds in General Ledger with Development module in coordination with Director of Advancement
Participate in fundraising events
HR and Benefits:
Work with HR assistant to coordinate filings and background checks for new employees
Reconcile monthly benefits payments
Actively participate during benefits open enrollment season
Work closely with Insurance broker. Send updates and forms
Maintain compliant HR personnel files
Prepare semi-monthly payroll data ensuring information is accurate and appropriately updated and recorded on a timely basis
Work with Director of Communications to provide information to all parents regarding lunch information as well as challah orders through MyBackpack
Maintain spreadsheet for lunch enrollees and handle all necessary communications
Must demonstrate leadership, dependability, innovation, initiative, customer service, team work, sound judgement, self-management, and adaptability skills.
