Girls Preparatory School (GPS) was founded to provide girls with the necessary courses to pursue a college education, GPS has proudly graduated almost 6000 young women since 1906. Currently, 131 faculty and staff serve about 600 girls in grades 6-12 with a college preparatory curriculum that includes a full complement of humanities, arts and STEM courses and co-curricular programs of leadership development, athletics, performing arts and community engagement.
The part-time College Counseling Administrative Assistant works closely with the Director and Associate Director of College Counseling to support them in all their administrative needs to ensure the smooth running of the college office. S/He is also available to assist students and parents during the college admissions process. The position requires the administrative assistant to work 7:30 am-12:30 pm Monday -Friday and some occasional evenings and weekends.
Major Responsibilities & Duties:
Receives guests, maintains calendar, directs phone calls, and takes messages when necessary
Manages all aspects of the SCOIR and National Student Clearinghouse databases, including updating GPAs, contact information, test scores, college acceptances, and final decisions
Manages all transcript requests/submissions for SCOIR, NCAA, Georgia and Tennessee Hope Scholarships, as well as other scholarships
Assists students with troubleshooting (test registration, scholarship applications, college forms)
Makes schedule changes for juniors and seniors
Assists with PSAT, PreACT, and Advanced Placement (AP) testing
Assists with Class Day and Commencement activities
Maintains the College Counseling, Scholarship, and Enrichment opportunities resource boards
Manages all Governor’s School applications
Liaison for One Schoolhouse (online school)
Manages projects and events, including acting as a liaison for the Coast to Coast College Fair
Respects confidentiality and uses discretion when information is shared by faculty, parents, students and administrators
Other duties as assigned.
A few evening events will be required.
Strong sense of integrity and personal character, outstanding professionalism, and a healthy sense of humor
Bachelor’s degree in related field or equivalent experience
3-5 years of prior administrative support experience preferred
Excellent attention to detail; strong organizational skills; professional demeanor; good judgment and the ability to work independently, but collaboratively, in a goal-oriented team environment
Superb technology skills; Microsoft Office/G Suite expected
Outstanding written and verbal communication skills
