The Advancement Services Manager, reporting to the Chief Advancement Officer understands and supports the mission of UWC-USA as fundamental to all Advancement Office activities. The role is to oversee and maintain the Advancement Office database and donor files, all gift processing and acknowledgement processes, mailings, and analytical and stewardship reports.
Receive and post all gift information into the database
Generate gift validation documentation for the Business Office and reconcile gift entry monthly with the Business Office
Generate acknowledgment letters and manage the signing and mailing process
Generate and send monthly pledge reminders
Generate and send inquiries to monthly donors who lapse or whose credit card becomes invalid
Ensure that all steps from data management to stewardship of the donor are completed and appropriately captured in the database
Database Entry and Maintenance
Add all new constituents to database following the established standard operating procedures
Be familiar with and regularly update, as appropriate, the standard operating procedures for the database
Update addresses and other constituent information in a timely manner to ensure accuracy
Research and add work and higher education information on constituent records
Add event attendance information to constituent records
Record actions taken by assigned relationship managers and their visit reports
Create queries, reports, spread sheets, phonathon cards, etc. from the database
Produce donor lists for annual giving report, and updates to EverTrue Alumni App
As needed, assists other members of Advancement Office staff with the creation and production of queries, reports, spread sheets, etc.
Create and maintain donor files for all correspondence
Work with campus IT Department to ensure that latest software updates are installed, functioning and that data is backed up and secure
Work with credit card processors to ensure that donations are being received and transmitted
Coordinate maintenance of printers and copy machine, ensuring all are in working order
Create and print mailing lists/labels for solicitations, e-newsletters and publications
In consultation with other Advancement Office staff, create packages and appeals
for direct mail and online solicitations
Manage the mail merges from mailings lists
Monitor and order supplies for mailings
Organize and take responsibility for processing mailings
Four (4) years recent related experience in an office environment
Completion of a recognized post-secondary certificate or equivalent
Experience with fundraising database (preferably Raiser’s Edge)
Ability to produce high-quality work, meet critical deadlines, and maintain attention to detail
Word processing (including mail merges and formatting of documents), Excel experience (intermediate to advanced experience with functions for manipulating data, formatting for reports, etc.), social media, etc.
Excellent interpersonal and communication skills
Excellent organizational and time management skills
Ability to use good judgment in the establishing priorities and assessing difficult situations
Ability to work with frequent interruptions
High degree of accuracy, discretion and confidentiality is essential
