The Receptionist will manage a busy school office and provide crucial support to the School’s administrative staff and admissions effort. Using strong organizational skills, meticulous attention to detail, a cheerful, flexible, positive attitude with strong social skills, the ideal candidate will have prior office experience and experience with children from grades 5 to 12. Bilingual (Spanish or Mandarin) is required.
Positively represent The Hudson School by answering phones, greeting visitors, responding to information requests; producing routine correspondence and mailings
Collect daily attendance information and create and distribute attendance reports
Maintain security procedures for visitors and students
Assist the school nurse with sick and/or injured students
Process public transportation refund paperwork
Track potential students from inquiry through admission, keeping track of application materials throughout the process
Sort and distribute incoming mail
Manage office supply inventory, restock copiers with paper, order maintenance supplies
Provide logistical support for meetings and events by scheduling, ensuring that appropriate resources (conference lines, refreshments, etc.) and materials are in place; troubleshooting technology issues
Process all-school mailings
Positive, unflappable, and cheerful demeanor with the ability to thrive in a small, collegial, and often busy school office
Enjoy working with students from ages 10 to 18
Effective time-management skills with an ability to plan workflow, handle multiple tasks simultaneously and assume responsibility for completing projects
Ability to work independently and be proactive to see what needs to be done before being asked
Proficiency in Microsoft Office and Google Docs applications, and ability to quickly learn other school-related software, including databases
Strong oral, written and phone communication skills; Spanish and/or Mandarin language skills are essential in communicating with some of our families
Ability to write business correspondence and other basic documents in a timely, clear and concise manner
Relevant office experience required
Two years of experience in an office or school.
Fluency in Spanish or Mandarin.
