Watkinson School, offering inventive teaching and learning since 1881 seeks qualified, experienced candidates for the position of Executive Assistant to the Head of School. Watkinson’s mission, to “develop in our students the power to shape their lives and the world around them”, serves as the guiding force for our daily work. Located in Hartford, CT, Watkinson School is a co-educational, college preparatory school serving students in grades 6-12, with a post-graduate program, The Academy. The Executive Assistant to the Head of School plays a key role in the daily life of the school, and has extensive contact with students, parents, faculty, staff, the Board of Trustees, and the wider community.
The Executive Assistant (EA) directly supports the Head of School (HoS), the school Leadership Team, and the activities and functions of the school. Excellent verbal and written communication skills, project management, accuracy, discretion, and confidentiality are essential EA qualities. The successful candidate will bring school experience, and will demonstrate the ability to work independently and prioritize amongst competing goals and objectives. The ability to work under pressure while handling a wide variety of activities and confidential matters with discretion is crucial to success in this position. The EA must bring flexibility, resilience and a sense of humor to their work.
This is a full-time, 12-month position, reporting to the Head of School.
Key Responsibilities Include: -Manage an active calendar for the HoS -Ensure the HoS is prepared, informed, and on time for appointments, including making all necessary reservations and/or travel arrangements -Aid in the accurate creation and/or dissemination of communications as needed by the HoS and Board of Trustees, including schedules; presentations; meeting agendas, notes, etc. -Maintain the permanent records for the Board of Trustees -Assist with the coordination of daily faculty substitute assignments -Manage and coordinate annual summer mailing to families, faculty, and staff. -Manage mailings and communications emanating from the HoS office -Create, manage, and communicate scheduling for Senior Project Exhibitions to all constituencies involved -Create panels of jurors for Senior Project Exhibitions -Provide administrative assistance to the Senior Year experience -Maintain HR record-keeping for the HoS’s Office, including collecting letters of agreement for new and current employees and maintaining the HoS’s personnel files -Work closely with the Development and Communications offices to support the HoS’s fund-raising and stewardship responsibilities -Work closely with the Business Office to ensure accurate expense tracking for the HoS account(s) -Organize annual HoS or Leadership Team hosted events, including faculty / staff parties, teacher appreciation week, and administrative. Responsibly managing budget for school events, as assigned -Organizational and logistical support for meetings, retreats, etc. -Represent the HoS’s office to all community members and visitors to campus -Arrange for gifts in honor / memory of others on behalf of the HoS -Liaison with the Parent Association for communication, grants, events, etc. -Commitment to professional development to continually advance skills -Manage school’s participation in surveys and data collection (NAIS, CAIS, etc.) -Lead the logistics and planning and implementation of Watkinson’s annual Commencement -Assist or lead special projects as needed and assigned
