The Admissions and Enrollment Assistant provides administrative support to the Admissions Office and participates in all admissions-related activities. The Admissions and Enrollment Assistant has primary responsibility for maintaining the admissions database. He/she supports both the Director of Admissions and Enrollment Management and the Assistant Director of Admissions. He/she is also expected to ensure excellence in the management of the Admissions office, providing professional, friendly and efficient service in this office for prospective and current families, in addition to faculty, staff, and students.
Manage and maintain the Admissions database using the Admission Office onboarding software (Blackbaud) to process and manage inquiries, applications, enrollment and student data along with financial aid applications.
Generate weekly reports to help inform the Director of Admissions and Enrollment Management of progress towards goals.
Deal with new inquiries effectively, offering all who inquire the option of a campus tour.
Successfully convert inquiries into a campus visit followed by an application.
Oversee the creation of admission folders and documents received by mail and from online application sources, including materials sent by consultants and organizations.
Help all applicant families complete admission files, taking appropriate steps to facilitate applicant folder completion. Continually review application folders for completeness.
Manage the Admission office calendar and schedule meetings and visits by prospective families with the highest level of professionalism and public relations.
Perform all duties related to Admission mailings.
Assist the Director of Admissions and Enrollment Management with the management and coordination of Parent/Docent-led tours, including gathering content for the creation of training manuals and materials . Conduct admissions tours for prospective families as needed.
Assist with the preparation and execution of all Admission related events, responsible for completing event requests, updating EMS, booking and confirming vendors, creating and managing accurate invitation lists, managing RSVP’s, etc. Attend all admission events, including but not limited to Open House, Coffees, Parlor meetings, Welcome Events, Welcome picnics, etc.
Ensure that lead statuses, notes and personal details are kept fully up to date at all times and after each and every communication with prospective parents.
Follow up with leads at all stages of the pipeline that have become unresponsive to reignite their interest. Follow best practice in timing this communication.
Close out unresponsive leads in a timely fashion, always leaving the door open for the conversation to restart.
Update and maintain admission and enrollment reports, both independently and as requested by the Director or Assistant Director.
Reconcile all admissions credit card statements and invoices for the department.
Monitor inventory of all admissions merchandise and supplies in storage and reorder when needed.
Monitor and keep a record of incoming and outgoing enrollment contracts for both returning and new students, working closely with the Business Office. Assist with generating proper enrollment and financial aid forms and prepare enrollment packages.
Other duties as assigned by the Director of Admissions and Enrollment Management, and Head of School.
The successful candidate will have the following skills:
Multi-year experience in database management is a definite requirement.
Familiarity with admissions-oriented software systems is highly preferable.
Meticulous with regard to record keeping.
High quality communication: written and verbal language, structure and consistent attention to detail.
