Job Title: Accounts Payable and Data Entry Clerk
Reports to: Director of Finance

The role of the Accounts Payable and Data Entry Clerk is integral to the school’s Business Office and includes responsibility for all payments of goods and services as well as office support services necessary for the basic operation of Bernard Zell Anshe Emet Day School. The Accounts Payable and Data Entry Clerk reports to the Director of Finance.
Typical Education and Experience:
The ideal candidate is proficient in Microsoft Excel and data entry. This candidate will have a bachelor’s degree, in accounting or a business related field is a plus. A minimum of two years of bookkeeping, bank reconciliations, and accounts payable experience is required. Independent school experience is a plus, as is experience with Blackbaud’s Financial Edge accounting program.
Administer all aspects of the Accounts Payable Process including:
Reviewing and verifying all invoices for appropriate approval and documentation prior to payment.
Sort and code all invoices for secondary approval by Director of Finance
Process invoices into accounting system
Prepare and perform check runs, including printing and obtaining signatures on all checks.
Monitor accounts to ensure payments are up to date.
Research and resolve invoice discrepancies and issues.
Maintain vendor files, including filing of all check slips and support and obtaining W9s when necessary.
Enter employee reimbursements into payroll.
Prepare monthly budget reports for department heads and budget managers.
Assist Director of Finance in administration of PTC recordkeeping and reporting.
Assist in the Cash Receipts process including depositing checks into the bank, recording checks in the accounting system, and filing deposit support.
Manage the monthly Credit Card close – ensuring all receipts are received, following up with credit card holders if any are missing, and ensuring receipts are coded properly.
Prepare all Bank Reconciliations, except for Operating Account.
Daily mail collection and distribution within the Business Office.
Conform to all safety rules and use all appropriate safety equipment.
General administrative duties (i.e. answers phone, front door requests, order office supplies, stock kitchen as necessary).
Assist with benefits correspondences as needed with HR Manager
Filing and organizational needs in the HR Department
Data entry as required by the Director of Information Services and Development team including entering Annual Campaign pledges/cash receipts, Annual Fundraiser pledges/cash Receipts, and Temporarily Restricted receipts into Raiser’s Edge (Development Software).
Sending invoices and acknowledgement letters as necessary for the Development team.
Other responsibilities and projects as directed by Director of Finance, Director of Information Services, HR Manager, and COO.

Work is generally performed on site, Bernard Zell does not offer a telecommuting option.
