As member of the Development and Graduate Affairs’ Senior Management Team (SMT) the primary responsibility of this position is the strategic direction and the oversight of the day to day operation of the Office of Development and Graduate Affairs. This position reports to the Director of Development, heads the Systems, Support and Operations Team and directly supervises the assistant Director of Operations and Donor relations and the Development and Database Coordinator.
Essentials Duties and Responsibilities
Directs the information and records management operations, including maintaining and upgrading the Raiser’s Edge donor database, electronic filing system, as well as the development of a strategic plan for long-term storage of constituent records.
Serves as the liaison between development and the business office.
Prepare or coordinate all mailings, emails and other communications with constituents.
Coordinate and prepare information for end of year audit and annual report.
Ensure the accuracy of Raiser’s Edge database with clean up and procedures.
Serves as liaison between department staff and ISS, including the coordination of office computer hardware and software acquisitions.
Directs the gift processing and donor acknowledgment operation.
Manage the donor stewardship program, including donor recognition, scholarship and campaign in support of the campaign’s cultivation and solicitation plans.
Coordinates the prospect and donor research program, including providing confidential research on individuals, corporations, and foundations in support of the annual development plan and campaign elements.
Assists the Director of Development in the general administration of the department, including the preparation and monitoring of the annual department budget, oversight of department purchasing procedures, development of departmental policy and coordination of department's planning process.
Directs the preparation and maintenance of regular reports (gift income, pledge, campaign, prospect, financial, etc.) necessary to carry out the functions of the Development Office
Oversees the preparation of periodic reports to top management, as necessary or requested.
Formulates policies and procedures for the Development Office
Performs other duties as assigned by the Chief Advancement Office or the Director of Development.
Requires an experienced professional with a proven successful track record and ability as a leader, manager, and strategist in an increasingly complex organizational environment
Excellent computer skills for a PC and in-depth user and management knowledge of Raiser’s Edge fundraising software
Advanced knowledge of all educational development activities (prospect identification, cultivation, solicitation, and stewardship), with particular emphasis on information systems, prospect research, stewardship and office operations.
Advanced knowledge of fundraising processes and procedures.
Ability to communicate effectively, both orally and in writing.
An understanding of and appreciation for a team-oriented management style.
