Lake Highland Preparatory School is currently seeking an Administrative Assistant to the Director of Middle School on the Charles Clayton Campus. The Administrative Assistant to the Director is responsible for working directly in an administrative support role to the Director of the Middle School and providing support to the school’s administrative team as needed. This position also handles purchasing/receiving, facilities scheduling, and maintains the Middle School budget accounts. Clerical support in the form of answering phones, taking messages, directing calls, coordinating general office operations will also be required from time to time. A successful Administrative Assistant should ensure the efficient and smooth day-to-day operation of the Middle School office.
This 12-month non-exempt employee will need strong knowledge of a professional office environment including skills in basic office software and electronic communication, database systems, word processing, spreadsheets, etc. This position requires strong verbal and written skills, excellent time management skills and the ability to prioritize responsibilities. Attention to detail and problem-solving skills are essential to be successful in this role. Prepares monthly credit card reconciliations and expense reimbursement reports
Coordinates school events including room reservations, facilities requests, catering, and other meeting details
Maintains middle school budget accounts
Prepares purchase orders and check requests
Maintains Middle School calendar
Schedules meetings and appointments for Director and Associate Directors
Attends faculty/staff meetings and prepares meeting minutes
Arranges travel for Administrators and faculty to attend conferences and professional development events
Compiles information and prepares weekly parent newsletter
Organizes and files documents
Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
